Position: Product Knowledge & Documentation Specialist

Spaceman designs industry-leading soft serve and frozen drink machines, and we’re hiring a Product Knowledge & Documentation Specialist to serve as the primary owner of product documentation and standards. In this role, you’ll lead our product documentation and knowledge ecosystem across File systems, CRM, LMS, and customer-facing resources, making sure every team and partner has accurate, current, easy-to-use information.

You’ll work hands‑on with the equipment and collaborate directly with teams including our factory, engineering, project managers, sales, support, technical service, and other partners. We are looking for someone who digs in, executes, and takes responsibility to keep documentation organized, correct, and complete. If you have 3–7 years in equipment-focused documentation or configuration roles, can read wiring diagrams, schematics and other technical documentation, and prefer being the person who brings order to chaos, we’d like to talk.

Purpose

Ensure that our teams, partners, and customers always have the latest, most accurate, and up-to-date information about our equipment, available in an easy-to-access, simple-to-understand, and consistent format.

This role owns the product documentation and knowledge “truth set” for our equipment: structuring and maintaining our document libraries, managing product and asset documentation links in our CRM, enforcing configuration and documentation standards from factory to customer, and coordinating with our engineering team to ensure our documentation and shipped products align.

Key Responsibilities (Summary)
  • Own complete documentation packages for each active model and key customer configuration.
  • Keep documentation accurate, current, and consistent with actual equipment.
  • Define and enforce standards for document naming, versioning, and storage.
  • Maintain configuration “source of truth” for each model (components, options, firmware, approved variants).
  • Ensure product/config changes are reflected in documentation, CRM, KB, and success guides within required timelines.
  • Design and maintain logical document structures in SharePoint (public/private libraries, permissions).
  • Migrate content from legacy locations (e.g., Google Drive) and deprecate old sources.
  • Ensure CRM model/asset records link to the correct, single source of truth.
  • Own structure/standards for LMS / Online Learn and public Knowledge Base / success guides.
  • Act as primary day-to-day contact with factory engineering on documentation and configuration topics.
  • Work closely with Sales, Customer Success, Technical Service, Warehouse, Operations, and Training to identify gaps and fix broken links.
  • Administer a simple change-control workflow for documentation and configuration and hold stakeholders accountable.
  • Perform targeted validation/inspection (limited volume) to confirm that builds and documentation align; drive corrections when they do not.
Qualifications Required
  • 3–7 years in technical documentation, product information, or similar role in an equipment-based environment (HVAC, refrigeration, food service, appliances, industrial, etc.).
  • Strong ability to read and interpret technical documentation (manuals, wiring diagrams, schematics, parts lists).
  • Able to interpret wiring diagrams and troubleshoot documentation inconsistencies (not required to design circuits).
  • Experience owning or administering documentation/knowledge systems (e.g., SharePoint, KB, LMS).
  • Comfortable working around and operating equipment for basic tests/validation.
  • Demonstrated ability to bring structure and standards to messy information environments.
  • Strong written communication and process discipline.
  • Legally authorized to work in the U.S.; able and willing to travel internationally.
Preferred
  • Microsoft 365 / SharePoint experience (library design, permissions, versioning).
  • Experience with CRM systems for model/asset documentation links.
  • Background in configuration management or change control.
  • Experience using AI or related tools to draft/polish documentation.
  • Mandarin (Chinese) language skills a plus.
Working Conditions & Travel
  • On-site in Loveland, CO.
  • Office and light industrial/warehouse environments; occasional equipment operation and inspection.
  • Some early morning/evening hours to communicate with overseas factory teams.
Travel
  • 1–2 trips per year to factory in China (7–10 days each).
