AboutThe Role
avad3 is seeking a highly organized and proactive Office Manager to help keep our office, logistics, and internal systems running smoothly. This role is ideal for someone who thrives in a fast-paced, detail-heavy environment where ownership, follow‑through, and professionalism matter. You'll serve as a central operational hub—supporting administrative systems, finance coordination, travel logistics, facilities management, and event logistics.
What You’ll Be Doing Administrative Operations- Maintain accurate and up-to-date internal information hubs and documentation
- Assist the Finance Director with bookkeeping and administrative finance tasks
- Manage incoming calls and route communications appropriately
- Oversee and maintain the company-wide calendar
- Ensure offices remain stocked, organized, and professional
- Open and close the office daily and coordinate with external vendors for maintenance and facility needs
- Provide administrative support to co‑working tenants
- Book flights, lodging, and ground transportation for team members
- Maintain accurate travel records and related documentation
- Coordinate crew bookings, equipment rentals, and freight logistics
- Maintain and update logistics calendars and schedules
- Support production managers by ensuring operational details are clearly documented and executed
- Support both short-term and ongoing operational initiatives
- Identify inefficiencies and improve internal systems proactively
- Step in wherever needed to ensure the team operates smoothly
- Is exceptionally detail-oriented and comfortable managing a high volume of moving parts
- Demonstrates professionalism through reliability, discretion, and follow‑through
- Thrives in structured systems while adapting to shifting priorities
- Is technologically adept and confident navigating multiple digital platforms
- Works independently while collaborating effectively across departments
- Communicates clearly, kindly, and professionally
- Anticipates needs and solves problems before they accelerate
Position Requirements
- 2+ years of experience in administrative, operations, office management, or coordination roles
- Strong organizational and time-management skills
- Proficiency in common business software platforms (Google Workspace, scheduling tools, accounting systems, etc.)
- Ability to manage multiple projects and deadlines simultaneously
- Comfortable in a fast-paced environment with shifting priorities
- Experience in event production, creative agencies, or small business environments
- Experience coordinating travel logistics
- Experience supporting multi-functional teams
- Familiarity with production or logistics scheduling systems
- Working knowledge of bookkeeping basics and administrative finance support
