TITLE:

Athletics Event and Facilities Specialist
JOB GOAL:
Coordinate the effective use of district facilities and support the planning and execution of athletic, school, and community events by providing exceptional organizational, logistical, and customer service support.

Reports To:

Director of Athletics
QUALIFICATIONS (SKILLS/EXPERIENCE/TRAINING REQUIRED):

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Experience in event coordination, facilities scheduling, customer service, administrative support, or a related field is preferred.
  • Working knowledge of office software, scheduling systems, and Google Workspace or similar applications.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple projects and priorities while maintaining attention to detail.
  • Valid driver's license required.
ABILITY TO:
  • Coordinate facility use and event logistics with multiple internal and external stakeholders.
  • Organize schedules, communicate effectively, and respond professionally to changing priorities.
  • Provide outstanding customer service to staff, students, community organizations, and visitors.
  • Maintain accurate records, calendars, contracts, and facility documentation.
  • Work independently while collaborating effectively with district administrators, coaches, custodians, transportation, and community partners.
  • Work flexible hours, including occasional evenings and weekends, based on event needs.
PERFORMANCE RESPONSIBILITIES:
  • Coordinate facility scheduling for district programs, athletics, and approved community rentals.
  • Serve as the primary contact for facility use requests and communicate scheduling details to appropriate departments.
  • Coordinate logistics for school and community events, including room setup, equipment needs, staffing requests, and event readiness.
  • Work collaboratively with custodial, maintenance, transportation, food service, technology, and athletic staff to ensure successful event operations.
  • Support operations of the Fitness Center and natatorium, including scheduling, facility readiness, and communication with users.
  • Assist with transportation coordination related to athletic and extracurricular events.
  • Maintain facility calendars, rental agreements, usage records, and related documentation.
  • Monitor facility readiness before and after events and communicate maintenance or operational concerns.
  • Assist with community programming and approved facility rentals while ensuring compliance with district procedures.
  • Provide administrative support for the Athletic Department and other assigned departments as needed.
  • Assist with event supervision when necessary.
  • Promote positive relationships with students, staff, parents, and community members through professional and responsive customer service.
  • Perform other duties as assigned.
Work Environment and Schedule Expectations:

Work is performed in school buildings, athletic facilities, outdoor venues, and other district locations. The position requires frequent interaction with staff, students, community organizations, vendors, and the public. Evening and weekend work is expected based on the district event calendar.

  • Stand and walk for extended periods.
  • Lift, carry, push, or pull up to 40 pounds.
  • Frequently bend, stoop, kneel, reach, and climb stairs.
  • Set up and move tables, chairs, equipment, signage, and event materials.
  • Work both indoors and outdoors in varying weather conditions.
  • Work evenings, weekends, and extended hours as required for district events.
