Under close supervision, the Claims Administration assistant provides comprehensive administrative support to the Claims function by coordinating communications, maintaining files, and ensuring data accuracy across internal and external systems. The role processes payments, submits required reporting, obtains external documentation, and supports departmental operations through special projects, procurement, and documentation for internal analysis.
Key Responsibilities- Receive, screen, and route incoming phone calls, electronic mail, and physical mail to the appropriate internal teams or external parties.
- Provide administrative and operational support to the Claims function through scheduling appointments, meetings, and conference calls.
- Perform regular data management activities, such as data imports to claims systems and validating data accuracy to support reporting and compliance.
- Process incoming and outgoing checks, including depositing checks, logging activities, and resolving missing or incorrect information.
- Process legal preservation requests and manage required documentation, assisting in locating and collecting related documents within systems as needed.
- Request, obtain, and catalog external records (e.g., police reports) and supporting documentation required for claims investigations, settlements, and legal matters.
- Manage medical reporting requirements, primarily Medicare and Medicaid, by tracking mandatory information and ensuring timely and accurate submission in accordance with regulatory standards.
- Administer vendor and invoice processes through creating and maintaining vendor profiles in accounting and legal systems, processing department-specific invoices, and filing vendor-related documentation for claims and settlements.
- Support departmental operations by preparing supporting documentation for monthly financial reporting, assisting with resignation settlements, procuring department supplies, and contributing to special projects as assigned.
- High School Diploma or GED with up to 1 year of relevant experience, education, training, and/or military equivalent.
- Proficient with data entry and administrative tasks.
- Ability to manage multiple tasks with good attention to detail.
- Strong communication skills, both verbal and written.

Pay range is based on skills, education, experience, geography, and other qualifications. The position may be eligible for an annual bonus and incentives in accordance with company plans.
