Job Description

The Administrative Assistant reports to the Executive Director of Campaign Strategy and provides administrative support to the Associate Vice President of Principal Giving and Campaign Director and the Campaign Strategy team within University Advancement. This role interacts daily with high-level external and internal constituents of UA, including members of the Board of Trustees and Board of Regents, senior administrators across the University, and principal donors, to provide seamless, high-end customer service.

Responsibilities
  • Develop and employ efficient work procedures to ensure smooth office operation, such as screening incoming e-mail.
  • Assist with scheduling appointments and meetings and manage the Associate Vice President’s calendar for effective workflow.
  • Prepare and draft correspondence, briefings, talking points, administrative memoranda, and reports.
  • Maintain an effective electronic and paper filing system and other organizational systems as required.
  • Arrange travel for the Associate Vice President, including detailed itineraries and briefing materials.
  • Assist with entering and maintaining donor and prospect data into development databases and requesting or extracting data reports to address specific business needs.
  • Support execution of strategic engagement programs and events to maximize fundraising effectiveness.
  • Perform extensive independent contact with volunteers, donors, University officers, administrators, and trustees, as well as their assistants, to arrange meetings and solicitation calls on the Associate Vice President’s behalf.
  • Perform other related duties as required.
Salary

The salary range for this position is $51,350 - $64,200, with the final salary based on various factors, such as the candidate’s qualifications, skills, competencies, experience, and internal equity considerations.

Requirements

This position requires a high school diploma (a bachelor’s degree preferred) and 3+ years of increasingly responsible administrative experience in a professional setting. Strong interpersonal and organizational skills with attention to detail and accuracy are required. Excellent oral and written communication skills, including effective phone communication skills, are also expected. The candidate must possess solid knowledge of grammar and punctuation.

Additionally, the candidate should have accurate typing skills; a working knowledge of Google Suite and Windows PC, including Microsoft Office; familiarity with Customer Relationship Management databases and Zoom Workplace; exceptional proofreading skills; and be adept at handling multiple tasks and meeting deadlines.

Also requires good judgment, discretion in handling confidential materials, ability to work independently without close supervision. Candidates should also be highly motivated to work in a fast-paced environment and be flexible to work beyond regular workday hours when necessary.
