Medical Receptionist, Healthcare Administration, Office Administrator/ Coordinator
Hours:
40 hours per week. Monday through Friday from 8:00 AM to 4:30 PM or from 9:00 AM to 5:30 PM depending on the needs of the unit. One rotating Saturday per month required from 8:00 AM to 12:00 PM.

This role focuses on providing administrative and business support to the organization to achieve operational goals. Key duties include producing documents; collecting, recording, sorting, and filing information; handling mail; preparing routine reports; making travel arrangements; arranging appointments; responding to inquiries; performing data entry; and operating office equipment. The position is a hands‑on administrative or clerical support role, operating in a fast‑paced environment under moderate supervision, and may require interpretation or deviation from standard procedures.
JobOverview
The Receptionist performs routine clerical, secretarial, and administrative work, such as answering telephones, receiving the public, providing customer assistance, data processing, and record‑keeping. This position directs all calls and visitors to the appropriate staff in a prompt and professional manner, greets and directs persons with business at the hospital, and facilitates patient visits and receptions.
Minimum Qualifications- High School diploma or equivalent.
- One (1) year of related office or clerical experience.
- Previous experience with phone systems or switchboard.
- Two (2) years of medical office experience.
- Creates a professional atmosphere in the reception area, being congenial and helpful to all guests, vendors, and employees.
- Meets, greets, and welcomes all visitors to the reception area and notifies the proper person of the arrival.
- Assists patients unable to ambulate with a wheelchair or calls transport.
- Directs patient visitors to the appropriate care unit, clinic, or physician’s office.
- Receives flowers, fruit, and other packages for patients, records their arrival, and ensures they are delivered to the patients.
- Ensures that parcels left at the desk for out‑of‑hospital delivery are picked up.
- Answers and handles all phone calls swiftly while maintaining efficiency and accuracy, and transfers calls to the requested individual or appropriate department.
- Provides simple information on clinic times, locations, and office hours when available.
- Alerts supervisor of changes or errors in the phone directory.
- Reports any problems or incidents affecting telephone service to the supervisor.
- Maintains card file of patient religious affiliation for visiting clergy and arranges visits for patients on the danger list by the appropriate clergy.
- Practices confidentiality principles as set by the agency and federal HIPAA guidelines.
- Performs check‑in and check‑out duties as necessary.
- Works under normal office conditions, with occasional exposure to infectious diseases.
- Maintains constant contact with patients, families, visitors, delivery people, taxi companies, physicians, etc.
