Hours & Schedule

40 hours per week, Monday-Friday, 9:00 AM-5:30 PM with flexibility to meet the needs of the department. Additional rotating Saturday required from 8:00 AM-12:00 PM.

Job Profile Summary

This role focuses on providing administrative and business support to the organization in order to achieve operational goals. The position performs general administration duties such as producing documents, collecting and filing information, handling mail, preparing routine reports, making travel arrangements, arranging appointments, responding to inquiries, data entry, and operating office equipment. It supports daily business activities in a hands‑on environment, spending the majority of time on support services or activities under supervision.

The role requires basic knowledge of job procedures and tools obtained through work experience, may require vocational or technical education, and works under moderate supervision, handling routine problems while occasionally interpreting or deviating from standard procedures.

Job Overview

The Receptionist performs routine clerical, secretarial, and administrative work, including answering telephones, receiving the public, providing customer assistance, data processing, and record‑keeping. This position directs all calls and visitors to the appropriate staff in a prompt and professional manner, greets and directs persons having business with the hospital, receives incoming patients, and supplies information to visitors.

Minimum Qualifications
  • High School diploma or equivalent.
  • One (1) year of related office or clerical experience.
  • Previous experience with phone systems or switchboard.
Preferred Qualifications
  • Two (2) years of medical office experience.
Duties & Responsibilities
  • Creates a professional atmosphere in the reception area, being congenial and helpful to all guests, vendors, and employees.
  • Greets and welcomes all visitors coming to the reception area and notifies the proper person of arrival.
  • Assists patients unable to ambulate with a wheelchair or calls transport.
  • Directs patient visitors to the appropriate care unit, clinic, or physician’s office.
  • Receives flowers, fruit and other packages for patients, records their arrival and ensures they are delivered to the patients.
  • Ensures that parcels left at the desk for out‑of‑hospital delivery are picked up.
  • Answers and handles all phone calls swiftly while maintaining efficiency and accuracy, ensuring that calls requiring immediate attention or emergency nature are handled by the proper department.
  • Transfers calls to requested individuals, places callers in staff member voicemail or appropriate Nextel staff person if the requested person is not readily available.
  • Provides simple information such as clinic times and places, service times, and office hours when known.
  • Alerts supervisor of changes or errors in the phone list.
  • Reports any problems or incidents concerning the quality of telephone service provided to the supervisor.
  • Maintains a card file of patient religious affiliation for visiting clergy and arranges for patients on the danger list to be visited by appropriate clergy as soon as possible.
  • Practices confidentiality principles set by the agency and federal HIPAA guidelines.
  • Performs check‑in and check‑out duties as necessary.
Physical Requirements
  • Works under normal office conditions with occasional exposure to infectious diseases.
  • Maintains constant contact with patients, families, visitors, delivery people, taxi companies, physicians, etc.

Compensation & Benefits

Pay Range: $17.57 - $21.96
