Position Summary

The Business Manager is responsible for streamlining and supporting the financial management, human resources administration, and day‑to‑day business operations of the school. Working closely with the Head of School and Chief Operating Officer, the Business Manager ensures accurate financial record keeping, payroll administration, purchasing oversight, regulatory compliance, and operational effectiveness. The Business Manager plays a critical role in maintaining the financial integrity and operational sustainability of the school while ensuring compliance with requirements established by the Massachusetts Department of Elementary and Secondary Education (DESE), applicable state and federal regulations, and policies established by the Board of Trustees.

Responsibilities

Financial Management & Accounting

  • Provide oversight related to accurate school general ledger and financial records.
  • Review and improve processes related to accounting practices, including monthly bank reconciliations, credit card and account expense reconciliation, prepaid expenses, fixed assets and other standard journal entries, payroll labor distributions.
  • Assist in development, monitoring, and reporting of the annual operating budget.
  • Track spending and compliance for state and federal grant funding.
  • Maintain records related to fixed assets and depreciation schedules.
  • Assist with accounts payable, accounts receivable, 1099 processing and purchasing processes as needed.
  • Assist with preparation and coordination of the annual independent financial audit.

Payroll & Human Resources Administration

  • Administer the onboarding/exit process and personnel documentation compliance.
  • Coordinate short/long‑term leave requests, ensuring accurate payroll, records and staff support.
  • Ensure accurate benefits enrollment and act as point of contact to facilitate support with benefits related issues, including ACA reporting.
  • Support the processing of accurate and timely payroll.
  • Assist in and provide oversight for employee payroll and deduction records.
  • Maintain confidentiality of all personnel information as required by law.
  • Assist leadership with staffing and compensation tracking.

Purchasing & Operational Support

  • Support purchasing, receiving, and distribution of goods and services.
  • Assist in vendor coordination and contract tracking.
  • Ensure purchasing practices align with Massachusetts public procurement requirements (M.G.L. Chapter 30B, as applicable).
  • Provide general administrative and operational support as needed across school functions.

Compliance, Reporting & Governance Support

  • Support required financial reporting and compliance submissions as required by Federal, state and other related agencies.
  • Assist leadership with financial documentation related to charter accountability and renewal.
  • Periodically assist the Head of School in coordinating Board of Trustees materials and meeting documentation.
  • Maintain strong internal controls and accurate financial documentation practices.

Staff Management

  • Staff oversight may include management of some administrative functions such as School Receptionists and Accounting Assistants.

General Duties

  • Provide flexible support for Business Office and school‑wide operational needs.
  • Collaborate effectively with school personnel, families, vendors, and external partners.
  • Adapt to evolving responsibilities typical of a mission‑driven charter school environment.

Required

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field, or equivalent professional experience.
