Position: Administrative Officer 1

THE POSITION

The Pennsylvania Emergency Management Agency (PEMA) is excited to welcome a committed Administrative Officer 1 who enjoys detailed tasks and teamwork. In this role, you will support grant reviews, analyze documents, and help maintain clear and organized administrative operations. This position offers valuable experience in a mission-driven agency that serves communities across the Commonwealth.

DESCRIPTION

OF WORK

This position supports the administration of grant programs, funding processes, and policy development for statewide emergency management activities. It involves reviewing applications, preparing reports, and maintaining compliance with state and federal requirements. As an Administrative Officer 1, you will perform the following duties:

  • Grant Coordination:
    Support the review of applications, monitor program activities, and assist participants with required updates
  • Funding Review:
    Analyze reimbursement requests and confirm that documentation meets federal and state standards
  • Policy Development:
    Draft and update procedures and guidelines used to administer multiple grant programs
  • Report Preparation:
    Prepare financial and status reports and ensure required submissions are completed
  • Agreement Processing:
    Assist with issuing grant agreements, initiating fund commitments, and ensuring compliance with regulations
  • Stakeholder Relations:
    Maintain positive working relationships with federal, state, and local officials involved in grant programs

Work Schedule and Additional Information:
  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • In the event of an emergency or disaster situation or training exercise, this position may be required to travel, work up to 12-hour shifts, and work outside of the normal work hours, including weekends and overnights.
  • Free and secure on-site parking.
  • Telework:
    You may have the opportunity to work from home (telework) part-time, upon successful completion of the training period. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time.

  • Salary:
    Selected candidates who are new to employment with the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $ 53,008.00 (before taxes) .

Required Experience, Training & Eligibility QUALIFICATIONS Minimum Experience and Training Requirements:
  • Two years of experience in varied office management or staff work; and bachelor's degree; or any equivalent combination of experience and training.
