Overview

Performs routine administrative support work. Work involves administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.

Essential Functions
  • Prepares and disseminates information concerning agency programs and services; and responds to inquiries and interprets rules, regulations, policies, and procedures.
  • Prepares, edits, and distributes correspondence, reports, studies, forms, and documents; performs complex typing; assists in researching, composing, designing and editing agency publications; and maintains filing and record keeping systems.
  • Assists in the development of administrative and technical assistance policies and procedures; and tracks Parole Officer and Offender information to ensure compliance with program policies and procedures.
  • Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access.
  • Assists with training and provides technical assistance to others.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
Minimum Qualifications
  • Education, Experience, and Training
    • Graduation from an accredited senior high school or equivalent or GED.
    • One year full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from a college or university accredited by CHEA or USDE may be substituted for each six months of experience.
    • Must have or be able to obtain a certificate of course completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training from the Texas Department of Public Safety within six months of employment date.   • Knowledge and Skills
    • Knowledge of office practices and procedures.
    • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations (preferred).
    • Skill to communicate ideas and instructions clearly and concisely.
    • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
    • Skill to interpret and apply rules, regulations, policies, and procedures.
    • Skill in problem-solving techniques.
    • Skill in the use of computers and related equipment in a stand-alone or LAN environment.
    • Skill in the use of Microsoft Office Suite or equivalent for word processing, spreadsheets, databases, or presentations.
    • Skill to prepare and maintain accurate records, files, and reports.
    • Skill to plan work to meet established guidelines.
    • Skill in the electronic transmission of communications.
    • Skill to plan, organize, and assign the work of others.
    • Typing speed of 45 words per minute (with no more than 10 errors) preferred.
Additional Requirements
  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
  • Conditions include working inside, around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, irregular hours, and traveling by car, van, bus, and airplane.
  • Equipment used includes computer and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
