Job Description

This position is responsible for assisting the District Claims Managers and Regional Claims Manager, providing support for their respective districts and region. It also supports Claims Representatives by coordinating workflow in all offices.

Major Responsibilities and Authority

Answer and direct phone calls to the appropriate personnel.

Set up and input information for all new and miscellaneous commercial lines claims in the Electronic Loss Notice system.

Update IRS records by posting all payments to doctors, hospitals, repairmen, attorneys, etc., or 1099 files.

Create records on Claims Master files from total loss evaluations provided by Claims Representatives.

Record salvage payment, close salvage files, and assist the Physical Damage Supervisors on individual file problems.

Assist the Legal department as needed by opening suits, sending files to defense attorneys, uploading documents to the file, paying invoices, issuing settlement checks, and closing suits.

Prepare, print, or request affidavits for certified policies, as requested.

Prepare recovery memos and forward to the Waco State Office for posting to the General Ledger in the Claims system.

Other duties as assigned.

Minimum Position Qualifications

High school diploma or equivalent.

Strong problem‑solving abilities.

Ability and willingness to learn and extend skills.

Strong oral and written communication skills.

Proficient in use of Microsoft Office software required for this job.

Willing to travel as required.

Physical Requirements

Use of PC, telephone, copy machine, fax, and other office equipment for over six (6) hours per day.

Extended periods of sitting and concentration.

Occasional bending, twisting, crouching, pulling, pushing, lifting, reaching and moving items weighing up to 30 lbs.

Working Conditions

Occasional long, irregular hours.

Occasional travel by auto or other public transportation.

Work to be conducted in an office environment owned or leased by the company.
