Job Description – Administrative Assistant II – Montford Unit
OverviewProvides routine administrative support to the organization, including word processing, data entry, filing, phone answering, and preparing reports and documents. Works under moderate supervision with limited initiative and independent judgment.
Essential Functions- Word‑process, edit, and distribute correspondence, reports, records, and other documents ensuring conformance to rules, regulations, policies, and procedures.
- Perform data entry and retrieval, prepare related reports, compile, organize, and tabulate data, make copies, and maintain files and records in automated information systems.
- Maintain logs of work progress, document processing, and other records; assist in the maintenance of complex records.
- Answer telephones, respond to requests for information, and address inquiries regarding rules, regulations, policies, and procedures.
- Perform any marginal duties as assigned.
- Graduation from an accredited senior high school or equivalent; GED acceptable.
- One year full‑time, wage‑earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from an accredited college or university may substitute for each six months of experience.
- Computer operations experience preferred.
- Knowledge of office practices and procedures.
- Knowledge of business terminology, spelling, punctuation, and grammar.
- Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations (preferred).
- Skill to communicate ideas and instructions clearly and concisely.
- Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
- Skill to interpret and apply rules, regulations, policies, and procedures.
- Skill in problem‑solving techniques.
- Skill to prepare and maintain accurate records, files, and reports.
- Skill in the use of computers and related equipment in a stand‑alone or local area network environment.
- Skill to type 45 words per minute (with no more than 10 errors) preferred.
- Demonstrated physical ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry less than 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
- Ability to work inside, work around machines with moving parts, radiant and electrical energy, work closely with others, work alone, work protracted or irregular hours, and travel by car, van, bus, and airplane.
- Experience using computers, calculators, copiers, fax machines, telephones, dollies, and automobiles for performance of essential functions.
