Major/Essential Functions Executive Support
- Assists the Department Chair with all daily activities, including preparation of yearly budgets, end-of-year reports, curriculum planning, office and departmental reports, and salary increase documentation
- Serve as liaison between the department and college/university administrative units
- Provide high-level administrative support to the Department Chair, including calendar management, meeting coordination, and correspondence
- Prepare reports, presentations, and documentation for internal and external stakeholders
- Coordinate faculty meetings, events, and departmental activities
- Maintain records related to faculty workload, evaluations, and reporting systems
- Serves as the principal administrative liaison to the Chair, faculty, and staff.
- Works with Operations on large projects; obtains logistics for project initiation forms (PIFs)
- Assists faculty and Chair with the organization of seminars and courses
- Dashboard (Registrar Channel for Courses). Manages the placements for the Instructor of Record for each course
- Assists with Faculty Certifications for GPTI/TA
- Adds secondary positions to new Graduate Research Assistants to teach at 100%
- Work with faculty/chair to determine course schedule, providing room assignments to registrar, managing course fees, building new sections, etc.
- Prepares and reconciles financial reports for all grant accounts as well as new faculty startup accounts including the establishment of ORGS and FOP numbers; manages and updates faculty grant accounts.
- Process procurement within Tech Buy and other purchasing platforms as needed.
- Manages all electronic Personnel Action Forms (ePAFs) for faculty, staff, postdocs, undergraduate and graduate student assistants, and teaching/research assistants. This includes the management of international student compliance including their I-20, I9, the establishment of social security cards, and E-Verify
- Manages the hiring process through Kenexa
- Works with HR to update position descriptions, outside advertisements for faculty positions, submitting the position, obtaining required matrices and forms from the hiring committee, and completing the ePAF
- Assists the Scholarship Chair with managing scholarship forms, drafting and sending award letters, and utilizes the new Scholarship Tracking System to make the awards
- Ensures compliance with all Texas Tech University policies, procedures, and work rules.
- Collaborates with and provides assistance to four additional staff and contributes to the broader clerical and administrative functions of the department.
