Office Administrator/ Coordinator, Administrative Management, Clerical
- Serve as primary coverage for the front desk and lobby during business hours.
- Greet visitors to the Career Center, providing information, resolving issues, and utilizing various software to create appointments for students and alumni.
- Oversee and monitor distribution of physical and digital mail, including Career Center email, presentation requests, and student interview room requests.
- Manage a switchboard phone system with a high volume of calls.
- Assist with purchase orders and contracts to support job fairs and events within the Career Center.
- Promote collaborative and collegial relationships in a high-energy, professional environment.
- Act as a point of contact for Student Ambassadors for questions, procedures, or resource information to assist students or visitors to the Career Center.
- Assist in the recruitment, training, scheduling, and ongoing supervision of Student Ambassadors to ensure effective student engagement and program support.
- Assist with managing and supporting student access to on-site resources, such as the headshot photobooth and interview rooms and digital resources, such as job boards.
- Knowledge of Microsoft Software
- Other duties as assigned
Performs responsible and complex duties associated with a specialized function of a section of clerical employees. Duties may be generally described as planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing of information. Thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination.
Work is performed under general supervision within University policies and procedures. Job performance is based on overall operational effectiveness.
A minimum of a high school diploma or the equivalent. Three years progressively responsible clerical experience. Additional education and/or related experience to equal three years may substitute on a year for year basis.
Preferred Qualifications- Experience providing customer service in a higher education, student services, or professional office environment.
- Experience scheduling appointments and managing calendars using computerized scheduling systems.
- Experience working with student employees, peer mentors, ambassadors, or volunteers.
- Experience managing high-volume phone, email, or front desk operations.
