Administrative Assistant II – General
Job SummaryThis Administrative Assistant II performs routine administrative support tasks in the Risk Management/Safety & Investigation department of the Texas Health and Human Services Commission (HHSC). The role includes data entry, reporting, inventory control, mail handling, notary services, calendar management, and reception duties as directed.
Responsibilities- Attend work regularly; may work rotating shifts, overtime, and extended hours.
- Serve as receptionist: answer and direct phone calls, greet visitors, and maintain professional behavior.
- Prepare and proofread sensitive documents, maintain confidentiality, and route for approval.
- Prepare daily calendar information and produce department reports such as census, activity summaries, inventory levels, requisitions, expenditure charts, and tables.
- Maintain supplies, place emergency orders, and process purchase requisitions.
- Receive, stamp, deliver mail, maintain equipment, and file documents (hard copy and electronic).
- Act as Notary Public for the program and notarize required documents.
- Submit facility work orders, follow up on status, and communicate between unit and maintenance.
- Distribute information regarding department inquiries, activities, and projects to appropriate stakeholders.
- Leads and assists clerks and administrative assistants I as needed.
- Participate in disaster response or COOP activation if required.
- Knowledge of office procedures and basic clerical duties.
- Proficiency with Microsoft Office (Teams, Outlook, Excel, Word, PowerPoint).
- Organizational skills in oral and written communication.
- Effective use of databases, automated office systems, and basic computer software.
- Strong prioritization and task management to produce timely, accurate work.
- High school diploma or equivalent.
- Experience using automated office systems, equipment, and basic computer software.
- Administrative assistant or clerk experience.

Additional Information- Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks (CANRS, Nurse Aide, Medication Aide, LEIE).

- Flexibility in work hours may be required; overtime, weekend and holiday work may be necessary.
