Job SummaryWe are seeking a highly organized and detail-oriented professional to provide comprehensive administrative and clerical support to senior officials and management. In this dynamic role, you will serve as a critical point of contact for internal and external communications, manage scheduling, handle correspondence, and ensure the smooth day-to-day operation of the office. Drawing on your experience and sound judgment, you will independently manage a variety of tasks while contributing creative solutions to administrative challenges.
This position requires a proactive individual who thrives in a fast-paced environment and takes pride in delivering exceptional support.
- Schedule and coordinate appointments, meetings, and travel arrangements for management officials
- Answer and screen telephone calls, provide information to callers, and direct inquiries to appropriate personnel
- Take dictation and transcribe correspondence, reports, and other documents accurately and efficiently
- Relieve officials of clerical work and minor administrative and business detail tasks
- Prepare, proofread, and distribute internal and external communications, memos, and reports
- Maintain organized filing systems, both electronic and physical, ensuring easy retrieval of documents
- Gather, compile, and monitor information to support management decision-making
- Coordinate with various departments to facilitate smooth workflow and communication
- Manage office supplies inventory and place orders as needed
- Perform a variety of administrative tasks as assigned, adapting to shifting priorities with efficiency
- Exceptional planning and time management abilities with a strong results-oriented mindset
- Proven multitasking skills with the ability to manage competing priorities effectively
- Strong written and verbal communication skills for professional interaction at all levels
- Extensive computer proficiency and knowledge of relevant office software applications
- In-depth knowledge of clerical and administrative procedures, systems, and best practices
- Strong interpersonal skills with the ability to build positive working relationships
- Ability to gather, analyze, and monitor information to support organizational goals
- High degree of creativity and latitude in approaching and solving administrative challenges
- Demonstrated ability to work independently under general supervision with minimal direction
- 4 to 6 years of hands-on experience in administrative and business support roles
- Prior experience providing direct support to manager-level or senior official positions
- Demonstrated experience managing complex scheduling and multi-stakeholder coordination
- Proven track record of handling confidential information with discretion and professionalism
