Overview

Pella Windows & Doors of DFW is seeking a highly organized and proactive Project Coordinator to support our Sales Support team. This role is responsible for managing the details and coordination of multiple customer projects from start to finish, ensuring a seamless experience for both customers and internal teams.

The Project Coordinator partners closely with sales representatives, installers, and homeowners to ensure projects are accurately tracked, scheduled, and executed with excellence. The ideal candidate is a strong communicator and natural problem-solver with exceptional attention to detail and a customer-first mindset. This is a fast-paced, on-site role that requires adaptability and a proactive approach to overcoming obstacles.

Essential Duties and Responsibilities
  • Coordinate and oversee multiple projects simultaneously, from order placement through installation.
  • Act as the liaison between customers, sales teams, and installation partners to ensure clear communication and alignment.
  • Monitor project timelines and proactively identify risks or delays, taking corrective actions to maintain schedules.
  • Ensure all documentation, permits, and approvals are in place prior to project start and closeout.
  • Track and update project milestones, ensuring visibility for all internal stakeholders.
  • Deliver outstanding customer service through clear, timely communication and responsiveness.
  • Build trust with homeowners and contractors by understanding project needs and providing frequent updates.
  • Serve as the central point of contact for customer questions, concerns, or escalations throughout the project lifecycle.
  • Ensure post-installation follow-ups are completed and any outstanding issues are resolved promptly.
  • Collaborate with internal teams to address project challenges, product changes, or schedule shifts.
  • Provide support to the sales team by assisting with quotes, scheduling, and customer follow-up.
  • Ensure compliance with internal policies, safety guidelines, and brand quality standards.
  • Support continuous improvement initiatives and suggest ways to enhance project efficiency or customer experience.
  • Maintain accurate records of project status, customer interactions, and key project notes.
  • Utilize project management software and CRM tools to ensure real-time updates and transparency.
  • Coordinate with delivery, warehouse, and install teams to ensure all logistics are aligned.
  • Assist in job closeout processes including documentation, final inspections, and satisfaction confirmation.
Qualifications
  • Education & Experience
    • 1–2 years of experience in project coordination, customer service, or related operational role.
    • Experience in construction, home improvement, or building materials is a plus.
  • Organizational & Communication Skills
    • Strong verbal and written communication abilities.
    • High attention to detail and organizational skills across multiple simultaneous tasks.
    • Comfortable working with internal teams, vendors, and customers.
  • Technical Skills
    • Proficient with Microsoft Office Suite (Excel, Outlook, Word); experience with CRM or project management tools preferred.
    • Ability to learn and adapt to company software and tools used for scheduling and tracking.

Work Environment & Physical Demands
