Reports To: Practice Manager / Clinic Director

Position Summary

The Clinical Coordinator serves as a team lead for day‑to‑day clinic operations, supporting providers and clinical staff to deliver an efficient, high‑quality patient experience. This role coordinates clinic flow, scheduling, patient communications, documentation, and coordination with authorizations, imaging, therapy, and surgical/procedure services while maintaining compliance with privacy and safety standards.

Essential Functions:
  • Coordinate daily clinic operations to support timely patient flow (rooming coordination, provider schedules, task prioritization, and escalation of issues as needed).
  • Serve as a liaison between providers, medical assistants/technicians, front desk, billing/authorizations, medical records, and ancillary services to ensure efficient delivery of care.
  • Coordinate patient scheduling for new visits, follow‑ups, imaging, injections, procedures, therapy referrals, and post‑operative visits; communicate preparation instructions and appointment details.
  • Support coordination of surgical/procedure scheduling as applicable: collect required clinical documentation, assist with pre‑surgical requirements (testing, clearances), and communicate schedule updates to patients and staff.
  • Facilitate accurate, timely documentation workflows, including message handling, phone notes, prescription refill requests (per protocol), and completion of provider forms.
  • Assist with insurance‑related coordination: verify referral requirements, communicate with the authorization team, and help obtain necessary clinical information for approvals (per established workflows).
  • Maintain patient medical record accuracy and confidentiality; ensure HIPAA‑compliant handling of records, faxes, and communications.
  • Provide leadership and support to clinical support staff by coaching on workflows, helping prioritize tasks, and promoting consistent service standards.
  • Coordinate training and orientation for new clinical support team members on clinic procedures, safety practices, and documentation standards.
  • Monitor and help maintain clinic supplies and equipment; initiate supply requests and support inventory organization to avoid interruptions in care.
  • Support quality and safety initiatives (infection control practices, incident reporting, and process improvement as assigned).
  • Respond to patient questions and concerns professionally and promptly; route clinical concerns to the appropriate licensed staff/provider.
Required Qualifications:
  • High school diploma or GED required (college coursework in healthcare administration or related field a plus).
  • Minimum 2 years of experience in a medical clinic setting (orthopedics/sports medicine preferred).
  • Working knowledge of medical terminology, clinical workflows, and patient scheduling.
  • Proficiency with electronic medical records (EMR/EHR) and standard office software.
  • Strong organizational skills with the ability to multitask in a fast‑paced clinic environment.
  • Excellent communication and customer‑service skills; ability to communicate clearly with patients, families, and multidisciplinary teams.
  • Commitment to confidentiality and compliance (HIPAA and clinic policies).
Preferred Qualifications:
  • Certification as a Medical Assistant (CMA/RMA), LVN, or RN.
  • Experience coordinating orthopedic/sports medicine procedures (e.g., injections, imaging, DME, surgery scheduling, post‑op coordination).
  • Experience with insurance authorizations, referrals, and benefits verification workflows.
  • Prior team‑lead or supervisory experience.
Work Environment &

Physical Requirements:

  • Clinic/medical office environment with frequent interaction with patients, providers, and staff.
  • Prolonged standing and walking; frequent computer and phone use.
  • Occasional lifting/moving of supplies up to approximately 25 lbs.
  • May be exposed to communicable diseases and bodily fluids; required to follow all safety and infection‑control policies.
