- Develop and maintain strong relationships with vendors and suppliers.
- Oversee multiple suppliers and track their performance.
- Negotiate pricing, payment and delivery terms, and contracts for standard inventory items.
- Support non-inventory purchasing needs.
- Evaluate and monitor current pricing trends.
- Maintain awareness of raw material stock levels.
- Resolve discrepancies between material orders and received goods.
- Perform data entry into the company’s business system.
- Collaborate with the Parts Department to maintain cost-effective raw material and packaging levels.
- Coordinate pick list requirements with Project Managers and Service Operations.
- Set up and onboard new suppliers in the Client Business System.
- Manage the “Bill Received/Price Review” process.
- Work in a fast‑paced environment with project managers, engineers, clients, suppliers, and contractors.
- Perform scheduled administrative tasks.
- Become proficient in multiple functions of the in‑house business software system.
- Provide coverage for other office personnel during absences or vacations.
- Handle other duties as assigned.
- Working knowledge of basic procurement and accounting principles.
- Proficiency in Microsoft Office applications (Excel, Word, Outlook).
- Strong interpersonal, organization, accuracy, and communication skills (both verbal and written).
- Ability to maintain confidentiality of proprietary information and trade secrets.
- Capable of working independently and following management direction.
- Effective team player with strong collaboration skills.
- Associate’s degree (AAS) or equivalent experience.
- 2–3 years of administrative experience required.
- Procurement or purchasing experience preferred.
- Valid and appropriate state driver’s license (or ability to obtain prior to employment).
- Ability to pass pre‑employment and random drug screenings.
- Ability to pass pre‑employment background check.
