Guidance Secretary/Registrar

Lunenburg High School Guidance Secretary/Registrar sought.

35‑hour per week, school‑year position including five work days following the school‑year end and five work days preceding the school‑year start. Some summer hours may be required on a needed basis. Salary and benefits per the Lunenburg Association of Secretaries and Clerks agreement.

Job Description

1. Daily and General Operation of Guidance Office

  • Answer guidance telephone and aid callers
  • Assist students visiting the guidance office—ensure guidance protocol is followed
  • Maintain conference room schedule
  • Assist counselors with the School Counseling Curriculum by scheduling labs/classrooms, and locating students who fail to attend guidance classes/programs
  • Recording/maintaining guidance related data records on Naviance
  • Order Guidance Supplies
  • Help coordinate field trips
  • Certify attendance/data/graduation for government agencies and process transcript requests
  • Prepare guidance reports including the end‑of‑the‑year school committee report
  • Assist counselors with other tasks, as needed

2. Scheduling

  • Assist counselors with student scheduling
  • Create courses in Power School for schedules as needed
  • Enter transfer courses into Power School for new students entering from other schools

3. Registration

  • Withdraw students
  • Maintain student records (grades 6‑12)
  • Assist in the review of student transcripts to monitor courses/credits needed for graduation
  • Review transcripts of incoming transfer students to assess/translate former schools courses/credits
  • Provide transfer grades to LHS teachers

4. College Applications

  • Organize college “Decision Days” and schedule college representatives’ visits
  • Assist counselors with the processing of college applications via Naviance
  • Prepare all paper applications for mailing
  • Certify graduation status for seniors
  • Mail final transcripts to colleges following graduation
  • Collect information as needed for reports including “future plans” of seniors

5. Grades

  • Process report cards
  • Prepare honor roll
  • Prepare ineligible list
  • Monitor in completes
  • Prepare grade point averages/class rank

6. Test Scores

  • Record/process SAT, MCAS, PSAT, and ACT Scores as required
  • File and mail parent reports
  • Mail test scores to transferring students new schools and to colleges
  • Record test scores in Power School and Naviance

7. Naviance

  • Maintain calendar of all college visits
  • Enter new or delete withdrawn students from accounts
  • Update email addresses and other student data regularly
  • Assist parents and students in accessing various school‑related accounts

8. Coordinate Scholarships and Award Ceremonies for Seniors

  • Organize Department Award Ceremony & Community Award Ceremony
  • Coordinate scholarships/awards with all donors from January to June
  • Keep scholarship applications organized for students
  • Generate thank you letters to all scholarship/award benefactors
  • Assist with the graduation program by providing administrative an updated list of scholarship/award recipients
  • Maintain a list of scholarship/award donors’ addresses for student thank you notes
  • Prepare award program including scholarship/award background information

9. Organize Underclassmen Events and Awards Ceremony

  • Organize/prepare materials/assistant staff and students as related to DAR, Boys/Girls State, and Mass Star
  • Organize Underclassmen Book Awards and Award Ceremony

  • At least 3 year(s) of relevant experience preferred.
