Position: Operations Support Specialist I

Entry Level Office Support

This entry level position provides internal customer service and a broad range of operational support activities for local and regional Pike Engineering operations. The role reports to a Supervisor or Manager in a Pike Engineering office.

Essential Duties and Responsibilities
  • Input information accurately from various sources into computer database or applications to support time and expense entry, work management, invoicing, AP, expense reconciliations, or other assigned processes.
  • Provide general administrative and clerical support including mailing, scanning, copying; serve as receptionist.
  • Run reports from tools or systems and review data inputs/outputs for completeness and correctness.
  • Arrange employee engagement activities in the office.
  • Prepare and modify documents (correspondence, reports, drafts, memos, emails) as directed.
  • Meet established deadlines and deliver requested information timely.
  • Schedule and coordinate meetings and appointments; maintain the master calendar of in‑house meetings and manage employee calendars & availability.
  • Support company‑ and client‑sponsored events by organizing and scheduling catering, facilities, restaurants, or other vendors as needed.
  • Maintain general administrative reports and databases including fleet, phone lists, storm rosters, occupancy, and PPE assignment.
  • Monitor and order office supplies cost‑effectively.
  • Assist with new employee onboarding process.
  • Assist with maintaining fleet vehicles, coordinating and managing maintenance appointments and tracking mileage; outfit vehicles with required up‑to‑date equipment.
  • Perform other duties as assigned by management.
Complexity of Work

Semi‑routine; majority of work covered by established procedures.

Relationship to Outside Work Group

Exchange of information, which occasionally requires tact and/or diplomacy.

Qualifications

To perform this job successfully a person must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made.

  • Regular attendance required.
  • High school degree or GED required. Associates degree preferred.
  • 0–1 year experience in a similar support role or general administrative duties. Familiarity with utility or engineering office operations preferred.
  • Language skills:
    Ability to read and interpret procedural documents; ability to write simple correspondence.
  • Mathematical skills:
    Ability to apply fractions, percentages, ratios, proportions; compute rates and interpret spreadsheets.
  • Reasoning ability:
    Apply common sense to execute written or oral instructions; handle problems with few concrete variables in standardized situations.
  • Computer skills and knowledge of relevant software.
  • Knowledge of operation of standard office equipment.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
  • Ability to work independently and follow through on assignments.
  • High energy level, able to work in fast‑paced, ambiguous environment.
  • Professional appearance maintained at all times.
  • Ability to work well with individuals from diverse backgrounds.
  • Team oriented.
Physical Demands
  • Stand 1/3 of time occasionally; walk 1/3 occasionally; sit 2/3 regularly.
  • Use hands to handle tools or controls 2/3 regularly.
  • Lift up to 10 pounds occasionally; up to 25 pounds occasionally.
  • Work environment:
    Work near moving mechanical parts occasionally; moderate noise.
  • Special vision:
    Clear vision at 20 inches or less; color vision required.
Work Environment

Work occurs indoors in a standard office environment. Noise level moderate. No significant hazards such as explosives, radiation, or extreme temperatures.
