The primary responsibility for the Assistant Director of CARE and Support (CARE) is providing administrative support for the Associate Directors (ADs), Senior ADs, and Director of CARE. The Assistant Director must stay abreast of the projects, policies and practices of CARE to offer administrative support, supervision of the front office staff/functions, ensure record keeping in adherence with the Family Education Rights and Privacy Act (FERPA), and assist in communicating and scheduling students receiving case management and support coordination services.
The role reports directly to the Director of CARE for budget review and day‑to‑day budget management, procurement, reconciliation, transfers, and other administrative functions while maintaining qualifications through ongoing training and professional development.
- Provide administrative support for the associate directors, senior associate directors, and director in their functions within CARE.
- Supervise, oversee functionality, and aid front‑office staff and student workers as needed.
- Manage administrative processes including CARE Team meetings, case management services, scheduling campus threat assessment training, concealed weapons permits and storage approvals, placement and maintenance of the CARE flag on designated students’ accounts, and audit the Liberty Mountain Gun Range and campus training attendance records.
- Coordinate scheduling and purchasing of professional development opportunities for 6‑8 CARE staff members and arrange travel.
- Contact and schedule meetings and trainings on behalf of ADs, senior ADs, and the Director.
- Submit and track work‑order requests with Facilities related to general maintenance of the CARE suite.
- Serve as primary custodian of purchases for CARE, including requisition and reconciliation.
- Assist the Director in daily, multi‑year budget management and planning, including funds for the Peer Recovery Program.
- Maintain procurement knowledge and serve as primary point of contact with Procurement, Financial Planning, Budget, Information Services, third‑party vendors, and others regarding operational and promotional needs of CARE.
- Assist in planning and executing department events and activities.
- Direct administrative staff in maintaining CARE digital drives and records efficiently.
- Correspond with students, parents, and community providers when warranted, in accordance with FERPA.
- Lead maintenance and updating of administrative protocols and procedures related to case management and support coordination services.
- Support CARE Team meetings by setting up rooms and food and act as primary notetaker.
- Act as liaison to faculty and staff regarding student‑related problems relevant to CARE.
- Stay informed of emerging technologies, processes, products, services, and industry benchmarks related to CARE.
- Manage the CARE email inbox.
- Attend departmental and other official Liberty University meetings as required.
- Collaborate with CARE staff regarding case information, communication with Liberty community members and external parties.
- Work effectively as a team member, embracing and fostering the University’s mission.
- Perform other duties as assigned.
This position is responsible for supervision of the Administrative Assistant and Student Work Assistants.
Qualifications and CredentialsEducation and Experience
A bachelor’s degree with a concentration in business, communications, accounting, student development, counseling, higher education, or a related field is required. Minimum one year of management experience is required. Experience in budgeting, accounting, and administrative duties is preferred.
