The Administrative Assistant provides essential administrative and clerical support to the dean, chair, faculty, staff, student workers, and guests of the School of Communication & the Arts.
This role requires the ability to work independently with good judgment and discretion while contributing to a collaborative and welcoming office environment.
- Greets visitors and provides professional, courteousassistance.
- Performs clerical duties including filing, typing, answering phones, and managing email correspondence.
- Schedules and coordinates events such as CFAW, Experience LU,graduation, and other departmental functions.
- Schedules, records, compiles, transcribes, and distributesminutes of meetings.
- Coordinates guest visits including accommodations, meals, and transportation.
- Submits and tracks all facilities work orders, print shop orders, and IT Service Tickets.
- Reserves rooms using 25
Live. - Maintains a clean, organized, and positive academic office environment.
- Trains and becomes proficient in Liberty University systems and software.
- Supports and supervises HR hiring procedures.
- Performs other duties as assigned.
- Collaborates effectively as a team member, embracing and fostering LU’s Christian model and Mission – Training Champions for Christ.
- Submits key/badge access for others.
- Provides training as needed to department employees for administrative processes.
- Orders and maintains office supplies and equipment inBuyLU.
- Reconciles all p-card expenditures.
- Coordinates travel for department.
- Tracks student information.
- May use Workday to hire student workers and possibly GSA/TA,staff, and faculty.
- Performs tasks supporting the department and School of Communication and the Arts, including duties typically assigned toan Administrative Assistant I as needed.
- Enters/updates courses and programs in Courseleaf and maypossibly enter faculty into FAT for classes and possibly handlecatalog edits and course legislation.
- May assist in processes related to faculty qualifications.
- Approves time/absences in Workday for student workers andstaff.
- Oversees procurement tasks and manages budgets in Banner and Anaplan.
Admin II:
Supervises student workers and approves time. May approve time for staff.
Education and Experience Admin II
- 1-3 years administrative experience and bachelor’s degree required; OR 3-5 years office/administrative experience with finance/business and personnel management.
- Prefer professional work experience in a higher educationalacademic setting. Prior experience with Liberty University systemsis helpful.
- Proficient in Microsoft Suite (Word, Excel, PowerPoint, Teams,Outlook).
- Excellent organizational and problem-solving skills andprevious event planning experience required.
- Ability to effectively communicate in English both verbally andin writing to convey clear, well-articulated information in aprofessional manner on e-mail and MSTeams.
- Possess public communication skills that allow professional representation of Liberty University. Able to be a team player butexercise initiative and good judgment.
- Able to set priorities and manage multiple tasks withefficiency and good organizational skill.
- Computer skills, Microsoft Office, and Outlook 365/calendarproficiency required. Must have a working knowledge of Excel andbecome proficient at new systems.
- Intuitively able to reason, analyze information and events, andapply judgment to solve problems of both a routine and complex nature.
- May be required to travel.
- May be required to sit to perform deskwork or type on akeyboard.
- Regularly required to hear and speak to effectively communicateorally.
- Regularly required to stand, walk, and climb stairs to moveabout the campus.
- Handle materials, reach overhead, kneel or stoop to conductbusiness.
- Regularly lift ten or fewer pounds.
