The main purpose of this position is to support the academic and administrative work of the John W. Rawlings School of Divinity (RSOD).

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Plan and coordinate events, including conferences, meetings, and corporate functions.
  • Manage all aspects of event logistics such as venue selection, catering, transportation, and accommodations.
  • Develop and maintain event budgets, ensuring cost‑effective solutions.
  • Coordinate travel arrangements for employees and guests, including flights, accommodations, and transportation.
  • Communicate with vendors, suppliers, and stakeholders to ensure all event and travel needs are met.
  • Create and distribute event materials such as agendas, invitations, and itineraries.
  • Provide on‑site support during events to ensure smooth execution.
  • Handle post‑event tasks, including feedback collection and reporting.
  • Other duties as assigned.
SUPERVISORY RESPONSIBILITIES

This position will interact with individuals or entities outside the university when coordinating travel and events with external parties.

QUALIFICATIONS AND CREDENTIALS

Education and Experience

  • Proven experience in event planning and travel coordination.
  • Excellent organizational and time‑management skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and event‑management software.
  • Ability to work under pressure and manage multiple tasks simultaneously.
  • Attention to detail and problem‑solving skills.

Minimum requirements

  • Minimum of a bachelor’s degree.
  • Minimum of 1 year of experience in a related field.

Preferred qualifications and skills

  • Certification in Event Planning or Travel Coordination.
  • Experience with international travel arrangements.
  • Knowledge of current trends in event planning and travel management.
ABILITIES AND COMPETENCIES
  • Effective verbal and written communication skills in English.
  • Strong organizational skills and computer proficiency.
  • Team collaboration and respect for colleagues.
  • Strong problem‑solving abilities.
  • Physical requirements include occasional travel, standing, walking, climbing stairs, and lifting up to 10 pounds.
WORKING CONDITIONS & COMPENSATION

Work Environment: climate‑controlled office setting, well‑lit, moderate noise level.

Driving Requirements: use of personal vehicle (or university vehicles) necessary; requires a valid Virginia driver’s license, an acceptable DMV record, and liability insurance.

Location:

Onsite (Lynchburg, VA).

Pay Range: $44,000–$50,000. The position may also be eligible for comprehensive benefits, including health insurance, retirement plans, and tuition assistance.
