The Budget Coordinator serves as a key financial steward, responsible for directing and maintaining the day to day fiscal operations of the School of Aeronautics. This position works in coordination with the Provost Office Budget Manager and external partners, including Freedom Aviation, to ensure accurate processing of financial transactions, budget monitoring, and compliance with university policies and procedures. The role provides direct financial support for the School of Aeronautics aircraft fleet, including tracking high-volume operational expenses, invoices, and purchasing card activity associated with fleet maintenance, fuel, parts, and services.
ESSENTIALFUNCTIONS AND RESPONSIBILITIES
- Process requisitions, purchase orders, and other financial transactions in the university procurement system.
- Monitor requisition workflow and coordinate approvals ensuring timely processing.
- Maintain accurate budget records and track expenditures across multiple accounts and funding sources.
- Track and reconcile aircraft fleet-related expenses, including maintenance, fuel, parts, and vendor services.
- Review and reconcile purchasing card transactions related to fleet operations.
- Assist in the reconciliation of accounts on a regular basis to ensure accuracy and completeness, supporting monthly, quarterly, and annual budget review processes.
- Coordinate with internal departments and external vendors regarding purchasing, invoicing, and payment inquiries.
- Ensure compliance with Liberty University financial policies, procedures, and audit requirements.
- Maintain organized records of financial transactions and supporting documentation.
- Assist with resolving discrepancies in budget activity, invoices, or account balances.
- Provide general support and guidance to faculty and staff regarding budget and procurement processes.
- Participate in budget planning, forecasting, and reporting activities as assigned.
- Other duties as assigned to support Flight Operations Coordinator.
- Strictly adheres to Liberty University policies, representing the University in an exemplary manner.
- Works effectively as a team member, embracing and fostering LU's Christian model and Mission - Training Champions for Christ.

QUALIFICATIONS AND CREDENTIALS Education and ExperienceMinimum Qualifications
- Bachelor's degree in Business, Finance, Accounting, or a related field, or equivalent combination of education and experience.
- Strong organizational skills with attention to detail and accuracy.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Proficiency with Microsoft Office applications, particularly Excel.
- Effective written and verbal communication skills.
- Experience with enterprise financial systems (e.g., BuyLU, or similar).
- 2 - 4 years of prior experience in higher education or a related administrative environment.
- Familiarity with budget management and financial reporting processes.
- Ability to effectively communicate both verbally and in writing to convey clear, well articulated information.
- Ability to understand, speak, and write English in order to convey messages and correspond in an articulate and professional manner.
- Possess public communication skills that allow professional representation of Liberty University.
- Strong organizational skills.

The working environment in which one will typically perform the essential functions of this position is a climate-controlled setting. It is well lighted, and the noise level is moderate. Working environment may include facilitation of events outdoors occasionally.
