We are seeking a highly organized and analytical Client Service Specialist to support critical sales operations and strategic client accounts. This role is responsible for contract management, rebate administration, RFP coordination, CRM administration, contract pricing publications, sales analysis, and lead generation support. The ideal candidate will thrive in a fast-paced environment, possess strong analytical skills, and demonstrate exceptional attention to detail.

Key Responsibilities
  • Coordinate and manage the preparation and submission of Requests for Proposals (RFPs) for strategic accounts.
  • Collaborate with internal departments to gather required information and ensure timely, accurate submissions.
  • Maintain RFP documentation, response libraries, and templates.
  • Maintain and update customer and pipeline information within Microsoft Dynamics 365 Sales CRM.
  • Research prospective customers and compile data to support business development efforts.
  • Coordinate with external lead generation partners to ensure data accuracy and quality.
  • Review and redline customer and vendor contracts.
  • Monitor contract renewal dates and compliance milestones.
  • Maintain contract records and documentation.
  • Manage quarterly volume rebate programs, including tracking, calculating, and reconciling rebates.
  • Prepare and distribute monthly customer reports detailing rebate program performance and progress.
  • Calculate, prepare, and distribute monthly contract price pages.
  • Update pricing documentation with product additions, revisions, and changes.
  • Work closely with Sales teams to ensure pricing accuracy and compliance with company guidelines.
  • Analyze sales data using Microsoft Excel, including Pivot Tables, VLOOKUP, and other advanced functions.
  • Generate reports identifying trends, opportunities, and performance insights.
  • Support ad hoc reporting and analytical requests from Sales and Leadership teams.
  • Coordinate onboarding activities for newly awarded Strategic Accounts.
  • Support special projects as assigned by management.
  • Assist with corporate month-end reporting activities.
Qualifications
  • Bachelor's degree in business, Marketing, Data Analytics, or a related field preferred
  • Minimum of 3 years of experience in sales operations, sales support, contract administration, or a related role.
  • Advanced proficiency in Microsoft Excel, including Pivot Tables, VLOOKUP, and formula-based analysis.
  • Experience with CRM platforms such as Microsoft Dynamics 365 Sales, Salesforce, or Hub Spot.
  • Strong organizational, project management, and time management skills.
  • Excellent written and verbal communication abilities.
  • Exceptional attention to detail and accuracy.
  • Experience reviewing and redlining contracts or partnering closely with legal teams preferred.
