We are seeking a full-time, 40‑hour Clinic/Practice Assistant to support our practice onsite Monday through Friday from 8:30 a.m. to 5:00 p.m. This role performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under close supervision. The assistant will handle basic clerical work and routine tasks, supporting patient visits with scheduling, check‑in, check‑out, and other administrative duties.
Actual job duties may vary by department.
- Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
- Make patient appointments and maintain appointment records.
- Greet and assist patients.
- Answer telephones, assist callers with routine inquiries, and schedule appointments.
- File materials in patient folders and print appointment schedules.
- Process patient billing forms and scan documents to the patient medical record/LMR.
- Retrieve patient medical records and laboratory test results.
- Open and distribute mail or faxes.
- Type forms, records, schedules, memos, etc., as directed.
- Accept co‑payments if required.
- Handle, screen, and take messages related to prior authorizations, referrals, and verify registrations for accuracy.
- Monitor patients in the waiting room and respond to any needs for information.
- Assist in patient flow processes.
High School Diploma or Equivalent required.
ExperienceHealthcare office experience 0–1 year required.
Knowledge,Skills and Abilities
- Basic proficiency with all Office Suite applications.
- Knowledge of office operations and standards, including filing, copying, scanning, printing, and faxing.
- Ability to use a phone system and manage non‑routine phone calls, solving routine issues as appropriate.
- Effective written communication skills for various audiences, including composing/editing e‑mail, memos and letters.
- Understanding written sentences and paragraphs in work‑related documents, to correspond and communicate clearly and effectively.
- Excellent time‑management skills, able to manage one's own time and the time of others, and to manage multiple tasks simultaneously.
- Strong organizational skills and the ability to follow established protocols and work within systems.
