General Statement of Duties:Provide support to the Senior Special Program Coordinator of Veterans Services. Utilize technology and database systems to support office operations. Serve as a School Certifying Official (SCO), responsible for accurate and timely certification of VA educational benefits. Monitor student enrollments and related financial transactions in coordination with appropriate college offices to ensure compliance with state and federal regulations. Maintain working knowledge of military and veteran educational benefits, including applicable laws, policies, and procedures.
Essential Functions:- Serve as a School Certifying Official (SCO), processing accurate and timely VA educational benefit certifications in accordance with regulatory requirements.
- Monitor student enrollment and report changes that may impact VA educational benefits.
- Maintain compliance with VA regulations by assisting with audit preparation, catalog approvals, and required documentation.
- Complete initial and ongoing VA SCO training and apply current policies and procedures to daily work.
- Provide information and guidance to prospective and enrolled military connected students regarding admissions, enrollment, financial resources, VA benefits, and support services.
- Serve as a primary point of contact for military connected students regarding VA related questions and general inquiries.
- Conduct outreach to share important updates, events, and VA benefit related information.
- Support student retention efforts by assisting with communication and follow up as needed.
- Receive, review, maintain, and process student documentation in compliance with audit and recordkeeping requirements.
- Maintain office operations in the absence of the Veterans Services Coordinator, including greeting students, answering phones, responding to emails, scheduling appointments, and handling mail.
- Assist with meeting and event coordination, including scheduling, logistics, promotion, and documentation.
- Maintain effective working relationships with internal departments and external partners, including the Massachusetts State Approving Agency and the Department of Veterans Affairs.
- Assist with data collection, surveys, and reporting related to student veterans and program services.
- Maintain and update contact lists for VA healthcare representatives, community organizations, and veteran service providers.
- Perform other duties as assigned.
- Excellent organizational skills with the ability to manage multiple tasks, meet deadlines, and maintain accurate records.
- Strong computer skills, including proficiency with Microsoft Office, Google Workspace, and the ability to learn database or student information systems.
- Excellent interpersonal, oral, and written communication skills.
- Ability to exercise discretion in handling confidential information.
- Ability to follow detailed procedures and ensure compliance with state and federal regulations.
- Candidates will be required to pass a CORI/SORI and/or National background check as a condition of employment.
- Experience working with VA education benefits (e.g., Chapters 31, 33, 35, or 1606).
- Experience working in higher education, particularly within community college systems.
- Associate's degree in a related field, plus two years of related experience, or an equivalent combination of education and experience.
- Experience maintaining records for audit or compliance purposes.
