You’ll work closely with the Management Team, the finance department and colleagues across the organisation.
As Management / Office Assistant
, you are the organisational heart of MSM. You make sure processes run smoothly, meetings are well prepared, and visitors feel welcome. You handle a wide variety of administrative, planning, and light financial tasks with accuracy and care – ensuring that colleagues can focus on their core work.
- Providing secretarial and administrative support to the Management Team, including agenda management, meeting preparation, and follow‑up on action points.
- Coordinating internal meetings and events
, such as staff meetings, business lunches and team gatherings – from logistics to hospitality. - Managing communication channels
, including phone calls, emails and correspondence. - Welcoming and assisting guests and partners
, coordinating itineraries and ensuring a smooth visit experience. - Coordinating internal processes
, such as room reservations, catering, supplies, and internal registration of consultants or lecturers. - Supporting financial administration
, checking invoices and expense claims, identifying discrepancies and coordinating with the finance team. - Acting as backup for the Travel Office
, arranging travel bookings, visa applications and travel schedules. - Handling various administrative tasks to keep the office running efficiently.

- Excellent command of English and Dutch
, both spoken and written. - Strong skills in MS Office (Outlook, Word, Excel, PowerPoint).
- An affinity with financial administration
, including a basic understanding of accounting processes. - Discretion and sound judgement when handling confidential information.
As Management/Office Assistant at School of Business and Economics
, you will be employed by the most international university in the Netherlands, located in the beautiful city of Maastricht. In addition, we offer you:
- Good employment conditions. The position is graded in scale 7 according to UFO profile Management/Office‑assistant, with corresponding salary based on experience ranging from €3057,00 to €3985,00 gross per month (based on a full‑time employment of 38 hours per week). In addition to the monthly salary, an 8.0 % holiday allowance and an 8.3 % year‑end bonus apply.
- An employment contract for a period of 12 months with a scope of 0.8 FTE.
- Flexible working hours and the possibility to work partly from home, with a monthly commuting and internet allowance. Full‑time employees receive 29 vacation days and 4 additional public holidays per year. Accumulation of compensation hours adds 12 days. You may personalise employment conditions through a collective labour agreement (CAO) choice model.

The terms of employment are largely set out in the collective labour agreement of Dutch Universities and the local provisions of Maastricht University.
