JOB SUMMARY AND SCOPEThe primary functionality of this position is to effectively and efficiently schedule all patients for the infusion clinic and provide backup scheduling coverage to all outpatient services in the hospital with the exception of surgeries and rehabilitation therapy in a courteous, professional manner. Patient education will be performed by the Outpatient Scheduling Coordinator for test preparation.
The secondary function of this position is to provide flexible coverage to Patient Access Registration and assist in coving needs as the ward Clerk on Med/Surg. Patient education will be performed by the registration clerk in many areas including but not limited to:
Free Care, Advanced Directives, Patient Consent, Patient Rights, Notice of Privacy Practice, and the Advanced Beneficiary Notice.
- Responsible for all aspects of Infusion Patient Scheduling.
- Responsible for all aspects of outpatient scheduling when covering the Out Patient Scheduler Office including:
Infusion, Imaging, Cardio Pulmonary, Nuclear Medicine, and Dietary departments. - Scheduling inpatients for services when necessary
- Answer all incoming phone calls and return messages when applicable
- Maintain a current working knowledge of outpatient coverage issues
- Prescreen scheduled outpatient services for third party coverage including assessment of medical necessity when applicable
- Obtain insurance coverage and pre-certification numbers when applicable
- Adheres to all aspects of the POS policy as applies to outpatient scheduling.
- Assist physician office staff in understanding third party coverage issues
- Communicate with patients, through the office staff or directly, regarding instructions/education specific to the service scheduled
- Recognize when Advanced Beneficiary Notices are needed and notify registration staff for completion
- Ensure completion of all physician orders
- Supply registration with daily orders
- Verify presence of all previous day’s orders by comparing to outpatient registration list and providing necessary information to Health Information for coding purposes
- Responsible for all aspects of switchboard operation:
- Process all inquiries and requests at front desk reception and switchboard efficiently which includes answering all incoming phone calls and transferring to appropriate departments
- Maintain a current working knowledge of new and departing staff
- Record arrival time and registration time of all patients that present for services
- Maintain visitor sign in for Obstetrical patients
- Sort incoming patient mail by room number and deliver to appropriate nursing station. Re-address mail to discharged patients and put in outgoing mail.
- Unlock various offices and file cabinets, relocking at department closing
- Responsible for all aspects of outpatient and inpatient registration:
- Completion of all data screens on registration profile and verifying information for each date of service
- Assessment of patient’s insurance coverage including eligibility
- Maintain a current working knowledge of outpatient coverage issues and assessing medical necessity when applicable
- Adheres to all aspects of the POS policy as applies to IP and OP registrations.
- Prepare and explain Advanced Beneficiary Notices when applicable
- Completion of Medicare Secondary Payer Questionnaire on all Medicare patients
- Assist physician office staff in understanding National Coverage Policies
- Provide Notice of Privacy Practice and obtain patient signatures on hospital consent forms for each date of service including establishing a responsible party of patient when patient is unable to sign
