Position Overview:

The Legal Administrative Assistant is responsible for assisting with state and federal regulatory filings, maintaining organized legal and corporate records, supporting billing and accounting documentation processes, and helping ensure compliance with applicable regulations.

  • Prepare and submit monthly, quarterly, and annual regulatory filings to appropriate state and federal agencies.
  • Maintain comprehensive filing systems for agreements, property records, audits, loans, grants, and company assets.
  • Review and process customer deposits and billing documentation for submission to the Accounting Department.
  • Support Accounting and Billing teams by reviewing invoices and ensuring accurate documentation is maintained in relevant systems.
  • Review and process easement and encroachment requests, collect associated fees, and maintain related records.
  • Communicate with regulatory agencies to ensure compliance with applicable laws and reporting requirements.
  • Prepare and track regulatory fee payments on a recurring basis.
  • Monitor customer activity trends and assist with setting up new products in billing systems to ensure accurate invoicing.
Qualifications:
  • Associate’s or Bachelor’s degree in Legal Studies, Business Administration, or a related field preferred.
  • 1–3 years of experience in a legal administrative, compliance, or professional office environment.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in Microsoft Office and experience with document management systems.
  • Ability to manage multiple deadlines and maintain confidentiality.
  • Excellent written and verbal communication skills.
