Legal Assistant I

Crossroads Talent Solutions is seeking a highly organized and detail-oriented Legal Assistant I to support the United States Attorney's Office (USAO), Middle District of Georgia, Criminal Division in Macon, Georgia. This position plays a critical role in maintaining the integrity of criminal case records by assisting with file management, records retention, case closeout activities, and administrative support functions.

The successful candidate will ensure legal files are accurately organized, maintained, and preserved in accordance with Department of Justice (DOJ), Executive Office for United States Attorneys (EOUSA), and National Archives and Records Administration (NARA) records management requirements. The position requires exceptional organizational abilities, discretion in handling sensitive information, and the ability to work collaboratively in a fast-paced federal legal environment.

Case File Management
  • Review criminal case files to determine case status and verify that all legal actions have been completed, including sentencing, appeals, post-conviction motions, asset forfeiture proceedings, and related civil matters.
  • Utilize multiple government databases including LIONS/Case View, PACER, Court Links, and other internal systems to verify case disposition.
  • Locate, retrieve, organize, and reconcile both paper and electronic case files.
  • Compare files against established district records retention checklists to determine which documents must be retained or destroyed.
  • Assemble, organize, and prepare official case files for long-term storage.
  • Ensure confidential, sealed, and sensitive documents are properly secured and handled according to DOJ policies.
Records Management
  • Determine appropriate records retention schedules for closed legal files.
  • Prepare Notices to Close Legal Files for Assistant United States Attorney (AUSA) approval.
  • Update Case View and other case management systems to document file closure and storage.
  • Coordinate signatures from Division Chiefs when assigned AUSAs are unavailable.
  • Maintain file tracking systems to ensure accurate records location and retrieval.
  • Assist Records Custodians with office file organization and records maintenance.
  • Support annual inventory, packing, and transfer of eligible records to the National Archives and Records Administration (NARA).
Administrative Support
  • Serve as backup receptionist by greeting visitors, answering multi-line telephones, and directing inquiries professionally.
  • Maintain organized filing systems and administrative documentation.
  • Assist attorneys and legal staff with general office support functions.
  • Prepare correspondence and documentation as assigned.
  • Support special projects and other legal support activities as needed.
Minimum Qualifications
  • High school diploma or GED required; college coursework preferred.
  • Three (3) years of related legal experience preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to learn and utilize federal legal databases and case management systems.
  • Valid U.S. driver's license.
  • U.S. Citizenship.
  • Ability to successfully obtain and maintain the required DOJ Tier 4 Public Trust background investigation.
Preferred Knowledge and Skills
  • Experience working in a legal office or law firm.
  • Knowledge of federal records management procedures.
  • Experience using PACER, Case View/LIONS, or other legal databases.
  • Strong attention to detail and document accuracy.
  • Ability to handle sensitive and confidential information.
  • Excellent interpersonal and customer service skills.
  • Ability to prioritize multiple assignments while meeting strict deadlines.
  • Self-motivated with the ability to work independently and as part of a legal team.
