Job Summary

The Office of the President is a fast-paced, high-energy environment. Staff members are expected to exercise a high degree of responsibility and independent judgment and often work irregular or extended hours. This position serves as the coordinator in the planning and execution of all Office of the President Events. The Senior Manager for Presidential Events is a highly versatile and self-motivated team player who has leadership oversight for key events hosted by the University.

Reporting to the Executive Assistant to the President and serves as a member of the Office of the President.

Responsibilities

Coordinate and Execute Events and Projects on behalf the President s Office (85%) - Plan, schedule, coordinate, collaborate, and execute events hosted by and /or associated with the President and/or the Office of the President. Develop budgets for events, prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating charts, etc. Contributes to research, programming and logistical support for events. Provides design concept for invitations and printed materials and ensures supplies and equipment have been ordered in support of the role.

Manage the logistical details for Office of the President, University events, Presidential events, meetings, etc. across on all five Campuses Responsible for the coordination of vendors & divisions (i.e. Food Service Vendor, Tech Support, Campus Police, Facilities, etc.)Serves as principal liaison between contractors, organizers, faculty, and administrators with regards to all facets of the logistical operations support of multiple programs and events sponsored by the Office of the President.

Serve as the Office of the President liaison to other divisions and operations where President has key role in event.

This position coordinates and supports multiple projects, manages tight timelines/deadlines, communicates event requirements to colleagues and event partners, participates in continuous improvement methods, and represents the University s mission and brand in a positive manner.

Utilize a centralized database - 25

Live and technology to automate, manage, and record details of events booked on campuses.

Ensure exceptional customer service to internal and external audiences.

Assist and handle registration inquiries for events.

Provides on-site event support including after-hours and weekend events on all campuses and/or other venues as assigned

Conduct post event evaluation in preparation for future events.

Serve as coordinator of information for Amphitheater including schedule of concerts and performances, compiling of invitation lists, correspondence with invites, and order food for events. Work closely with University Advancement.

Serve as liaison for President s Torch Society to include managing applications, communications and candidate selection. Plan and execute annual induction ceremony, organize Society ambassadors to support campus events.

Serve as lead for the Commencement Team to include coordinating the Commencement Committee to plan, organize, and produce the university s commencement. Responsibilities include setting timelines, delegating tasks to committee members, working with cross-departmental collaboration, and overseeing all logistical, ceremonial, and administrative details to ensure a smooth and successful event.(Administrative and Related Duties (15%) - Serves as directed as a liaison between the Office of the President and varied external and internal constituents.

Manage database of event supplies and inventory. Oversee invitee database, including database setup, ongoing maintenance, and reporting on attendance metrics. May lead or participate on special projects implemented by the Office of the President. Performs any other related duties as assigned by the Executive Assistant to the President.)

Required Qualifications

Educational Requirements Bachelor s degree in a course of study related to the occupational field.

Required Experience

Two to three (2-3) years of experience in event planning or a closely related profession involving project coordination, customer service, stakeholder engagement, and event logistics.
