Job SummaryThe Office of the President and the Office of Institutional Planning and Strategy are fast-paced, high-energy environments. Staff members are expected to exercise a high degree of responsibility and independent judgment. This position provides administrative assistance in the daily operation of the Office of the President and the Office of Institutional Planning and Strategy and reports to the Executive Assistant to the President and dotted line reporting to the Vice President for Institutional Planning and Strategy and serves as a member of the Office of the President.
Administrative/Clerical (80%) -
- Coordinates front office operations, including phone, email, and in-person inquiries.
- Greet visitors, provide information and assistance, and refer to appropriate personnel.
- Maintain database of supplies and materials.
- Maintain database of contacts.
- Prepares and submits purchase requisitions and requests for in accordance with USG and MGA procurement requirements on behalf of Office of the President and Office of Institutional Planning and Strategy.
- Retrieve and distribute mail for Office of the President and Office of Institutional Planning and Strategy.
- Receives items and assists with tracking and documentation of assets and inventory to ensure accurate records and compliance with MGA and USG policies.
- Identifies supply needs and coordinates with procurement to place orders.
- Performs any other related duties as assigned by the Executive Assistant to the President.
- Coordinates front office operations, including phone, email, and in-person inquiries.
- Support security measures of Administration building.
- Greet and direct guests in Administration building.
- Covers phone and calendars in absence of Executive Assistant to the President.
- High school diploma or equivalent
- Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with having a similar position for two or more years.
- Demonstrated experience with administrative support functions, including purchasing, budgeting, and inventory tracking.
Required Qualifications
- Proficiency in Microsoft Office applications, particularly Word, Excel, and Outlook.
- Excellent written and verbal communication skills.
- Knowledge of modern office practices and procedures.
- Knowledge of university and departmental policies and procedures.
- Knowledge of computers and job-related software programs.
- Knowledge of electronic document management and recordkeeping practices
- Skill in prioritizing and organizing work.
- Skill in the use of office technology including computers, scanners, multifunction devices, and collaboration platforms.
- Skill in oral and written communication.
