Job SummaryThis position is responsible for providing administrative support for Aircraft Maintenance Operations and AMT operations. This position will report to Director of Aircraft Ops/Maintenance and will have a dotted line to Department Chair for Department of Aviation Maintenance and Structural Technology.
Responsibilities Clerical (25%)- Sorts and distributes mail and parts
- Types reports, memoranda, and other documents.
- Processes travel authorizations and reimbursements.
- Enters, corrects and deletes data from the FSP maintenance tracking system
- Retrieves and updates aircraft temporary files and records.
- Schedules Rendrag avionics missions with flight
- Maintains parts inventory
- Coordinates with supervisors with shipping/receiving parts
- Generates reports and surveys for flight hours/downtime of aircraft; designs printed materials for logbooks.
- Coordinates maintenance work orders
- Compiles and maintains aircraft logbook temporary files.
- Maintains and orders office supplies.
- Prepares and submits purchase requisitions and requests for Aircraft Maintenance Operations/Maintenance and AMT budgets in accordance with USG and MGA procurement requirements.
- Manages purchase card transactions.
- Receives items and assists with tracking and documentation of assets and inventory to ensure accurate records and compliance with university and USG policies.
- Performs monthly budget reconciliation and assists with reporting and fiscal tracking
- Answers telephone and greet visitors; provides information and assistance; refers to appropriate personnel.
- Assists personnel with special projects.
- Performs related duties as assigned.
- High school diploma or equivalent.
Required Qualifications
- Possession of or ability to readily obtain a valid driver
¿ s license issued by the State of Georgia for the type of vehicle or equipment operated.
- Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with having a similar position for one or two years.
Preferred Experience
- Demonstrated experience with administrative support functions, including purchasing, budgeting, and inventory tracking.
- Knowledge of modern office practices and procedures.
- Knowledge of college and school policies and procedures.
- Knowledge of computers and job-related software programs (Microsoft office applications).
- Skill in prioritizing and organizing work.
- Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
- Skill in oral and written communication.
