The Talent Acquisition Specialist (Sourcing & Operations) supports the Talent Acquisition team by owning critical recruiting coordination and administrative execution while also contributing directly to candidate sourcing and talent acquisition reporting. Reporting to the Director, Total Talent, this role is responsible for delivering a consistently positive candidate experience through the recruitment process, ensuring requisitions and postings are executed accurately across multiple job boards, and facilitating pre‑onboarding activities such as background checks and drug screenings.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Collaborate closely with Hiring Managers, Talent Acquisition Business Partners, and HR Business Partners to deliver a positive, high‑touch candidate experience throughout the recruitment lifecycle
- Create and manage job requisitions in the Applicant Tracking System (ATS) and ensure postings are active, accurate, and refreshed as needed
- Post open roles to company‑approved job boards and proactively expand visibility through additional recommended job boards and sourcing channels based on role type
- Support talent pipeline development through candidate sourcing activities, including resume mining, Linked In sourcing, targeted outreach, and building talent pools for recurring or hard‑to‑fill roles
- Leverage appropriate systems to facilitate background checks, drug screens, and other pre‑onboarding requirements; monitor completion timelines and troubleshoot issues to avoid delays
- Coordinate candidate interview schedules using Outlook calendars and communicate confirmations, updates, and next steps to ensure a smooth experience for candidates and interview teams
- Coordinate candidate travel arrangements (flights, rental vehicles, hotels) and manage logistics as needed for onsite interviews
- Maintain and improve staffing process documentation, templates, and standard work to ensure consistency and efficiency
- Own professional staffing invoicing and maintain accurate records and routing for approvals and payment processing
- Track recruiting activity and outcomes, maintaining dashboards and reports (e.g., candidate flow, time‑to‑fill, posting performance, source effectiveness, funnel conversion, and candidate experience indicators) to support program effectiveness and continuous improvement

SKILLS AND ABILITIES
FOR SUCCESS
- Strong technical proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams), with the ability to produce clean, accurate recruiting reports and trackers
- Experience with Applicant Tracking Systems (ATS) and job board posting management; HRIS familiarity a plus
- Working knowledge of recruiting coordination best practices and a strong bias for candidate experience, responsiveness, and professionalism
- Demonstrated ability to source candidates using Linked In and other recruiting tools and platforms; comfort with outreach messaging and talent pipeline building
- Detail‑oriented with excellent organization, follow‑up discipline, and ability to manage multiple requisitions and deadlines simultaneously
- Strong interpersonal skills with the ability to partner effectively with hiring teams and HR stakeholders
