Executive Assistant - Special Education
Location: Lamphere Schools
Date Available: ASAP
Work schedule: 12 months - Full-Time
Pay Rate: $49,920 - negotiable based on experience

Minimum Qualifications:
- Preference given to candidates with post-secondary education
- 1-3 years of school-related experience, preferred
- Proficiency in MiStar, Frontline, Parent Square, and Google Suite
- Customer services oriented with strong written and verbal communication skills
- Self-directed with ability to perform job tasks with minimal supervision
- Ability to establish priorities and meet deadlines accurately and precisely
- Strong interpersonal skills to maintain positive relationships with staff members
- Knowledge of school district special education practices, preferred
- Experience with special education reports and data entry for special education, preferred
- Exceptional communication, organizational, prioritization, time management and problem-solving skills
- Self-starter who takes initiative on tasks and projects
- Demonstrated record keeping, data input and digital filing skills
- Must demonstrate reliability and punctuality, with a strong record of consistent attendance.
- Ability to withstand the strains of the position
- Such alternatives to the above qualifications as the administration may find appropriate and acceptable
- Serve as the primary administrative support to the Director of Special Education
- Organize and maintain confidential special education records and files in compliance with FERPA and district procedures
- Data entry and management of all special education documents, including processing and distribution to all involved parties.
- Track deadlines related to special education compliance, reporting and required submissions
- Assist with the preparation and organization of state and federal monitoring documentations, audits and data requests
- Enroll students who are eligible for Early Intervention or Early Childhood/ Preschool special education services
- Complete pupil accounting packets for all Early Intervention and Early Childhood Special Education programs
- Maintain five year projection spreadsheet for special education programs and staffing needs
- Support compliant practices within the department by maintaining timeline calendars, yearly IEP scheduling templates and monthly special education reports
- Maintain accurate records related to contracts and service provider documentation
- Support onboarding for special education staff, including paperwork, access requests and training coordination
- Manage department RAMP purchases, supplies,yearly renewals, purchase requests and invoice processing
- Submit all timesheets for special education staff, including extra pay duties
- Stay current on IEP compliance requirements
- Process SSA documentation and MORC Family Subsidy requests
- Monitor Medicaid Billing requirements/compliance, including maintaining the staff pool list, distribution of open/missing reports, and Random Moment in Time studies
- Maintain staff certification records
- Complete SOC records requests and manage 105C agreements
- Other duties as assigned by Administration
