Executive Assistant for the First Select woman
Position Title:
Executive Assistant
Hours of Work: Monday - Thursday 8:00 to 4:30 & Friday 8:30 to 12:00. 35.5 hours per week.
Salary Range:
Grade 9, Non-union – Salary Range $31.13to $43.53 per hour
The Town of Madison is accepting applications for the position of Executive Assistant for the First Select woman, located in the Town Campus. Completed applications must be received in the HR Dept. Application forms may be submitted on the town’s website isonct.org. Position posted until filled.
Minimum Training and Experience Required to Perform
Essential Job Functions:
Associate’s degree in business management or administration or a related field with five years of related experience or any combination of education and experience. Must have exceptional organizational skills and the ability to multitask. Excellent written and verbal communication skills, with the ability to maintain professionalism under public scrutiny. Candidate must possess a valid driver’s license and be able to successfully complete a complex background investigation.
Municipal experience highly desirable.
Position
Purpose:
The purpose of this position is to maintain and provide a high level of support to the First Select woman’s calendar, schedules appointments and meetings, facilitates the management of the First Select woman’s workload. Manages the schedules and communications of the First Select woman. Manages meeting preparation for the First Select woman, Board of Selectman and the Board of Finance by gathering the required documents and conducting background research.
Assists in the management of constituent complaints and coordinates with appropriate Town Departments. Assists the First Select woman in the preparation and dissemination of Town related communications, alerts, press releases, articles, etc. for the general public. Also collaborates with the Communication Manager to draft and disseminate public communications, alerts, press releases etc. Coordinates Zoom access and hybrid meeting staffing for the BOS, BOF, and various Ad-Hoc Committees for the BOS.
Performs a wide variety of other administrative duties. Maintains and updates files in accordance with Freedom of Information laws, state statutes and the Town Charter. Reviews incoming contracts and correspondence, including RFP’s, for the First Select woman. Performs other related administrative functions as assigned or required.
