About

the Role

As a Client Service Coordinator (often referred to in our industry as a Client Services Associate or Specialist), you will manage our front desk presence, greet clients and anchor our physical office space while executing critical mid‑ and back‑office support. Working closely alongside our Director of Client Experience, advisors, and leadership, you will ensure our daily administrative execution reflects the care, precision, and professionalism our clients expect.

While you will sit at the front desk to maintain a welcoming environment, your primary core focus will be the rigorous management of accounts, data, and workflows. You are a trusted steward of details and follow‑through, ensuring nothing falls through the cracks.

Primary Responsibilities
  • Front Desk Presence & Hospitality: Manage the front desk environment, warmly greet clients upon arrival, and ensure a premium, welcoming physical office experience.
  • Client Meetings & Continuity: Actively synthesize and summarize notes from client meetings, turning conversations into clear, actionable next steps and ensuring flawless team execution.
  • Operational Client Servicing: Process daily client service and administrative requests. Respond to operational inquiries with the personability, professionalism, and urgency our families deserve.
  • Precision Client Onboarding: Seamlessly complete and process new business applications across major custodians (Fidelity and Schwab), as well as annuities and life insurance, with an uncompromising commitment to accuracy. Proactively follow up on pending business and account transfers, providing consistent updates.
  • Meeting & Case Preparation: Responsibly gather, compile, and organize all necessary financial information, account statements, and required documents for the advisor prior to client meetings, ensuring the advisory team is fully equipped for every consultation.
  • Rigorous CRM Maintenance: Maintain an impeccably organized, audit‑compliant filing system. Own the daily integrity of our CRM database (Wealthbox), ensuring all new business, service activities, and client touchpoints are captured with absolute fidelity.
