Position Function:

The Monitoring Coordinator manages the program's data and monitoring systems to ensure the accuracy, integrity, analysis, and reporting of program information. This position supports data-informed decision-making, performance management, continuous quality improvement, and program effectiveness by providing meaningful data, performance reports, and technical assistance to leadership and staff.

Essential Duties and Responsibilities:

The Monitoring Coordinator is responsible for managing and supporting the program’s monitoring and data systems to ensure the collection, analysis, and utilization of accurate and timely information across all service areas. This position works collaboratively with program leadership and management staff to support data-informed decision-making, continuous quality improvement, and program effectiveness. The Monitoring Coordinator oversees the implementation and maintenance of program data systems used to track child, family, staff, and program outcomes.

The position is responsible for ensuring data integrity, generating reports, and providing meaningful information that supports strategic planning, goal achievement, and ongoing program improvement. This position provides training and technical assistance on data systems and reporting requirements and collaborates with service area managers to ensure accurate, timely, and reliable data. The Monitoring Coordinator works closely with the Program Manager–Data Services and the Compliance Specialist to ensure data systems effectively support compliance activities, performance reporting, and program monitoring.

The position also safeguards the confidentiality and security of program information and serves as a resource for data collection, reporting, performance measurement, and continuous quality improvement initiatives.

  • Manage and maintain the program's data management systems and reporting platforms.
  • Ensure the accuracy, completeness, timeliness, and integrity of program data.
  • Develop and distribute routine and ad hoc reports for leadership, management teams, governing bodies, and grant requirements.
  • Analyze child, family, staff, enrollment, attendance, health, fiscal, and program performance data to identify trends and support decision‑making.
  • Create dashboards, scorecards, and monitoring tools to measure progress toward program goals and objectives.
  • Support continuous quality improvement by collecting, analyzing, and reporting performance data that informs program planning and decision‑making.
  • Provide training and technical assistance to staff on data systems, reporting procedures, and documentation requirements.
  • Conduct data validation and quality assurance reviews to ensure accuracy and reliability of information.
  • Prepare and provide data reports, dashboards, and supporting documentation for federal reviews, audits, self‑assessments, and leadership reporting.
  • Collaborate with management staff to identify performance trends, monitor progress toward program goals, and inform improvement strategies through data analysis.
  • Maintain confidentiality and security of child, family, staff, and program data in accordance with federal, state, and organizational requirements.
  • Develop, monitor, and communicate key performance indicators, dashboards, and trend analyses to leadership to support strategic planning, goal attainment, and continuous quality improvement.
