Position: Accounts Payable Clerk l Full Time

Overview

The Madison Concourse Hotel is looking for an Accounts Payable Clerk to join our accounting team! This position provides financial, administrative and clerical support by ensuring payments are completed and expenses are controlled by receiving payments, processing, verifying and reconciling invoices according to company policies and procedures in an efficient, timely and accurate manner. This position is responsible for the management of the Accounts Payable process for The Madison Concourse Hotel, including travel agent commissions.

Schedule

This position is hourly with a schedule Monday through Friday, 8am to 4pm, including a paid half-hour lunch break. This is an entry-level position with the starting rate of $22/hr.

Qualifications
  • A working knowledge of bookkeeping procedures
  • Must have a working knowledge of computer operations
  • Requires a high degree of accuracy in the processing of disbursements
  • Must possess excellent data entry skills
  • Must be detail-oriented
  • Must have excellent oral and written communication skills
  • Must be able to work well with others and meet strict deadlines
  • Perform other functions as required and directed.
Accounts Payable and Financial Operations
  • Code, review, and process invoices using the established Chart of Accounts
  • Obtain invoice approvals from appropriate department leaders
  • Review invoices for applicable taxes and ensure proper accounting
  • Enter invoices into the accounting system for aging and payment processing
  • Prepare weekly check runs and cash requirement reports
  • Prepare, distribute, and mail checks as funded or directed
  • Process electronic A/P payments
  • Maintain accurate vendor records, check files, and disbursement/funding spreadsheets
  • Collect and maintain W-9 forms; enter vendor data for 1099 reporting
  • Research and resolve invoice or account discrepancies
  • Assist with recurring journal entries, including payroll entries
  • Maintain fixed asset records, including additions, disposals, and construction-in-progress status
Travel Agent Commissions
  • Prepare monthly reports of outstanding travel agent commissions
  • Review commission activity for accuracy based on established rate agreements
  • Process commission payments and prepare related cash requirement reports
