Key Responsibilities:- Invoice & Match Processing:
Handle standard invoices, execute 3-way matching, verify financial transactions, and ensure strict compliance with internal company policies. - Vendor Relations:
Respond to vendor inquiries, proactively resolve billing issues, and reconcile vendor statements with a high degree of speed and accuracy - Financial Records Management:
Maintain precise financial records, troubleshoot discrepancies, and ensure the timely, accurate imaging and filing of invoice supporting documents - Disbursements & Expenses:
Organize and process vendor payments on time, and handle company expenses accurately - Tax & Audit Support:
Collect vendor W-9 forms, assist with year-end 1099 tax reporting, and provide documentation for audit support as required - Process Improvement:
Collaborate with the team to identify bottlenecks and assist in streamlining the overall accounts payable workflow - Other job duties as assigned
- Experience:
Minimum of 2 years of dedicated experience as an AP Specialist - Technical
Skills:
Advanced proficiency in Microsoft Excel, along with intermediate skills in Word, Outlook, and Power Point - Digital Agility:
Highly comfortable navigating computers and learning new software systems beyond general accounting platforms - Core Competencies:
Strong attention to detail, top-tier organizational skills, and a solid understanding of payments, general accounting, and budgeting principles - High ability to handle sensitive and confidential information
- Education:
An Associate degree in Accounting or a Bachelor's degree in Accounting or Finance is considered a strong plus
As an Accounts Payable Specialist working in a manufacturing plant setting, there are specific physical requirements and work environment considerations to keep in mind. Physical requirements may include the ability to stand for extended periods, walk through the plant floor, and lift or move up to 50 pounds. Additionally, good manual dexterity and hand-eye coordination may be necessary for tasks such as data entry or filing.
The employee must have corrected vision and hearing within normal range.
In terms of the work environment, the Accounts Payable Specialist may be exposed to noise from machinery, varying temperatures depending on the plant's operations, and potentially hazardous materials. Therefore, a familiarity with safety protocols and the proper use of personal protective equipment (PPE) is essential.
