ROLEThis is a full-time role in Madison, WI for an Operations Specialist. The Operations Specialist will be a key player in supporting the smooth operation of the company by managing administrative functions, coordinating internal communications, and assisting with light accounting and human resources tasks. The ideal candidate is highly organized, detail-oriented, and comfortable working independently in a fast‑paced, technical environment.
RESPONSIBILITIES- Support general company operations including management of supplies, scheduling, and facility upkeep
- Manage company communications such as email correspondence, incoming calls, and mail handling
- Support onboarding processes for new employees and contractors, including preparing documentation and coordinating orientation
- Assist with payroll processing, invoice tracking, and basic bookkeeping tasks
- Help maintain employee records and support HR compliance efforts
- Coordinate meetings, travel arrangements, and company events
- Track and organize company documentation and digital records
- Interface with vendors, service providers, and external partners
- Maintain a clean, organized, and functional workspace for the team
- Assist company leadership with special projects and operational support as needed
- Bachelor’s degree or equivalent experience
- Proven experience in office administration, executive assistance, or operations support
- Basic accounting or bookkeeping experience preferred
- Familiarity with HR functions such as onboarding, record keeping, and compliance
- Strong organizational skills and attention to detail
- Proficiency with office software (e.g., Google Workspace, Microsoft Office, spreadsheets)
- Excellent written and verbal communication skills
- Ability to handle sensitive information with discretion
- Self-starter with the ability to prioritize tasks and work independently
- Comfortable working in a fast-moving technical environment with engineers, technicians, and leadership
- Experience supporting finance and HR operations in a manufacturing, aerospace, or technical company
- Familiarity with accounting software such as Quick Books or similar platforms
- Background in event planning or internal communications
- Willingness to take on hands‑on operational tasks and assist across departments as needed
- Ability to work long hours and weekends if necessary
