Job SummaryThe Department of Pediatrics is seeking a highly motivated and experienced Administrative Supervisor to provide comprehensive administrative leadership and direct support to the division chief, faculty, and staff in the Child Protection division.
This role coordinates complex clinical, academic, and administrative functions, manages faculty communications, meeting planning, and domestic and international travel. The Administrative Supervisor ensures seamless operations supporting the clinical, educational, research, and advocacy missions of the division, particularly the sensitive, multidisciplinary, and time‑critical work of child protection services. The position also supervises a team of administrative staff, overseeing workflows and ensuring timely completion of teaching, research, clinical, administrative, and professional society activities for staff and providers.
Supervisory responsibilities include performance management, mentoring, training, and providing ongoing feedback to foster professional growth and operational excellence.
- Some work may be performed in‑person at a designated campus work location.
- Some work may be performed remotely at an offsite, non‑campus location.
- Manage faculty calendars for educational, clinical, administrative, and research activities, prioritizing and scheduling meetings.
- Analyze data and trends, compile progress reports, and provide recommendations or conclusions for assigned operational work units.
- Implement and execute established policies and procedures for a designated work unit to align with unit objectives and strategies.
- Assist and advise staff on unit or program administrative issues, personnel matters, and budgetary problems.
- Assist division physicians with new and renewal IRB applications; prepare and maintain biosketches, MyNCBI, and CVs.
- Schedule logistics and secure resources to support day‑to‑day operational success.
- Exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, and approving hours worked for at least 2.0 full‑time equivalent employees.
- Develop, schedule, and prioritize unit or program work plans based on specifications and resource limitations.
- Assist with the Department of Pediatrics purchasing and reimbursement procedures, including requisitions, direct payments, and UW Health Fiscal forms.
- Assist physicians with research studies, compiling information and documentation; support manuscript preparation, grant applications, abstracts, instructional material slides, and special projects as requested.

- Starting salary is $70,000 annually, negotiable based on experience and qualifications.

- Experience supervising staff.
- Proficiency with Microsoft Office Suite and other relevant software applications.
- Experience providing administrative support within an academic medical center, healthcare, or higher education environment.
- Experience coordinating complex scheduling.
- Bachelor’s Degree preferred.
