Job Summary
This position will serve as the Assistant Coordinator for the National Atmospheric Deposition Program (NADP) at the Wisconsin State Lab of Hygiene (WSLH)/University of Wisconsin Madison. The Assistant Coordinator will be responsible for managing the operational, administrative, and outreach activities that support NADP's mission to monitor and assess atmospheric deposition across North America. This position plays a critical role in ensuring smooth program operations, maintaining effective communication with monitoring sites and stakeholders, and facilitating scientific meetings and events.
The Assistant Coordinator will work closely with the NADP Coordinator, Program Office (PO) staff, NADP Analytical Lab (NAL) staff, and NADP committees including the Executive Committee to coordinate site management, data dissemination, external communications, and staff supervision. The Assistant Coordinator will also serve as the primary backup to the NADP Coordinator for any NADP presentations, reports, and other project deliverables. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining positive relationships with federal, state, tribal, and academic partners.

- Directs day-to-day operational, PO, and NAL activities (20%)
- Coordinate day-to-day operational, PO, and NAL administrative activities, such as equipment/protocol testing, building space management, and purchase of supplies and services.
- Manage NADP site documentation and maintain accurate records in appropriate databases, including tracking site status, funding mechanism, and equipment type.
- Coordinate NADP site management ensuring proper siting and equipment are installed at new sites, and that closing and mothballed sites follow appropriate procedures to ensure equipment is prepared for extended periods of no operator interaction.
- Coordinate with PO and field personnel on quality assurance activities and site surveys.
- Develop and implement processes and protocols to support research goals (20%)
- Develop and maintain standard operating procedures for site management and communications, including the maintenance and expansion of NADP Google Sheet trackers.
- Prepare and distribute site status reports to NADP's Executive and Budget Committees including funding agency information, completeness criteria status, contact details, and problem descriptions.
- Assist with program reviews and audits as needed and serve as primary NADP representative for key field operation partners, such as ECCC, EPA CASTNET, EEMS, WSP, and ARS.
- Assist in development, coordination, and facilitation of meetings, trainings, and workshops for internal and external audiences (20%)
- Coordinate NADP meeting planning, specifically the annual Spring Scientific Symposium, including develop meeting schedules and other requirements in partnership with the Vice Chair, configure online registration and obtain abstracts and biographies of presenters, coordinate proceedings booklet, and execute comprehensive meeting logistics.
- Assist with spring and fall subcommittee business meeting logistics, ensuring any motions are properly voted upon and tracked.
- Run internal NADP managers meetings.
- Oversee digital communication and systems information (20%)
- Administer all NADP listservs, including managing membership, moderating incoming emails, and maintaining group owners and managers.
- Serve as primary DoIT contact for website operations and regularly update with any new information to disseminate to the broader NADP community, such as meeting dates and agendas, annual publication lists, and subcommittee and network updates.
- Produce annual NADP calendar from concept through print, including solicitating site operator photos, coordinating the Chair's Message, approving final layout, and managing printing logistics.
