Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Job Responsibilities
- Provide administrative support for the manager and the staff of the department.
- Maintain the database for equipment calibrations and maintenance reports as required.
- Act as the department RCP (Requestor Contact Person for Sourcing and Supply Management), including entering orders into FSA, desktop receiving, and approving invoices as required.
- Serve as a front‑line information source for internal and external customers.
- Prepare documents for shipping equipment for calibration and/or repair and manage record keeping for the shipping process as required.
- Assist in the management of departmental files, forms, SOP’s and archive departmental records as required.
- Support efforts in scheduling activities (e.g., contractor visits, scheduling meetings, maintaining calendars, agendas & minutes, etc.).
- Assist with employee training file documentation as needed.
- Serve as Document Coordinator for Metrology and Facilities controlled documents.
- Perform other related duties as assigned.
- Associate’s degree.
- 2 years or more of administrative experience.
- Good computer skills including ability to manage electronic work order tickets.
- Strong knowledge of office software (e.g., Microsoft® Office).
- Excellent written and verbal communication skills.
- 3 months or more of experience with Veeva Systems software.
- 1 year or more of experience in providing internal customer support.
- Flexible to work overtime as needed.
- Comfortable working in an Animal Research facility.
- Pay: $23/hr.
