The Madison Metropolitan School District (MMSD) is Wisconsin’s second‑largest school district, serving a diverse community of over 25,000 students.
Purpose of the PositionUnder the supervision of the Principal, this role is responsible for secretarial and clerical tasks within the school office.
Essential Duties and Responsibilities- Manage a welcoming and professional main office atmosphere, addressing parent/guardian, student, and community concerns efficiently.
- Record and monitor student attendance, track concerns, and follow up with phone calls to promote attendance goals.
- Manage various district budgets (Formula, Title I, SIP, Staff Development, Donations, etc.) and oversee procurement card usage.
- Coordinate parent meetings, including truancy meetings, with the Student Services Team.
- Maintain and generate school checks, financial records, and bank deposits in accordance with District money‑handling procedures.
- Order school supplies and other purchasing needs through District and external suppliers.
- Maintain inventory of supplies and order replacements as needed.
- Facilitate registration days and manage student recordkeeping—adding/dropping students, updating records, course placement, report cards, and fees.
- Schedule and enter K‑screeners.
- Assist in maintaining letters of record, including merged address labels and letters.
- Prepare memos, newsletters, and weekly bulletin correspondence.
- Maintain order when students are present and facilitate behavior support calls and documentation.
- Assist students who are ill or injured, including administering medication in the absence of a school nurse.
- Perform other related duties as assigned.
- Proficient with mail filing, sorting, and distribution.
- Strong command of Infinite Campus and related data tools (student management, report cards, behavior management, course scheduling, etc.).
- Effective communication with office assistants and administrators.
- Ability to train assistants, delegate assignments, and meet deadlines.
- Advanced computer skills with district software (Oasys, School Messenger, Class 7, Kronos, Munis, Subfinder, Infinite Campus, Microsoft Suite, Publisher, Gmail, Google Docs).
- Proficiency in accounting, bookkeeping, and financial reporting.
- Digital media skills for slideshow creation.
- Customer‑service demeanor and professional main‑office atmosphere.
- Staff supervision and schedule coordination.
- Organized and efficient office management.
- Time management, independent work, problem‑solving, multitasking, and sound judgment.
- Equipment operation: personal computer, phone, fax, copier.
- Confidentiality, composure, and professional communication under stress.
- Strong oral and written communication and advanced keyboarding skills.
- 3 years of secretarial experience or equivalent training.
- 1 year of bookkeeping/accounting experience.
- Experience in a school setting with cultural competence working with a diverse family population.
- Commitment to cultural competence and continuous learning.
- Keyboarding skills assessed via standard test.
- Native‑like fluency in Spanish and English.
- Travel to various district locations and off‑site meetings.
- Potential evening, night, and weekend work.
- Hybrid work flexibility may be available, discussed during the interview.
- Position requires in‑person presence unless otherwise directed by the principal.
- Lift up to 25 pounds occasionally; may involve walking, sitting, stooping, or reaching.
- Manual dexterity required for general office tasks.
- Stationary work for extended periods.
- Work in varied indoor/outdoor environments, including inclement weather and temperature fluctuations.
