Job Summary:
The Wisconsin National Primate Research Center (WNPRC) is seeking an Administrative Assistant II to work as part of a dynamic and caring team of animal care professionals. Reporting directly to the WNPRC Attending Veterinarian and Associate Director of the Animal Services Division (ASD), the Administrative Assistant provides comprehensive administrative support for the office including coordinating various ASD meetings (routine and ad hoc), coordinating travel for supervisor and other staff, coordinating purchase requests of supplies and medications, and assisting with data collection, data entry, and documentation, including regulatory information, as required.
This individual must establish and maintain effective working relationships with faculty, researchers, staff, trainees, and external clients. Highly effective interpersonal and communication skills and the ability to prioritize and manage multiple tasks are critical for success. Accuracy and exceptional attention to detail are imperative in this position to maintain regulatory compliance, professional accreditation, and grant funding
Key
Job Responsibilities:
* Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
* Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
* Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
* Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
* Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums

Compensation:
Minimum starting hourly rate of $21
Required Qualifications:
* Minimum of two years of relevant experience in an administrative support capacity assisting a team or individuals.
* Highly effective interpersonal and communication skills.
* Demonstrated ability to manage multiple responsibilities while delivering results.
* Exceptional attention to detail.
* Excellent organizational and time management skills.
Preferred Qualifications:
* Experience working in a research or academic environment.
* Proficiency with meeting-related technology such as Microsoft Outlook and Teams, Zoom, and Doodle.
* Knowledge of medical terminology and familiarity with Systematized Nomenclature of Human & Veterinary Medicine (SNOMED) coding protocols to accurately represent colony records information in a consistent manner.

High School Diploma Required
