The State of Wisconsin, Department of Military Affairs (DMA) is hiring a Records and Forms Management Specialist
- Advanced. This position is headquartered at the Joint Force Headquarters (JFHQ) in Madison.
This position will work part-time/ day-time hours. The exact weekly schedule will be determined with the finalist at the time of job offer.
The DMA provides essential, effective, and responsive military and emergency management capability for the citizens of our state and nation. Under general supervision of the DMA State Legal Counsel, this professional level position functions as the Agency Records & Forms Officer, managing vital agency forms and their related systems for the entire department. It also manages forms applications and databases, automated forms systems and approves electronic and hard copy forms.
The Records & Forms Officer position is responsible for administering the department-wide forms management programs, including providing training, developing policies, procedures, and/or general records schedules. This position provides ongoing forms consultation to all department form coordinators, providing general forms/user interface management direction to the Forms Developers. The Records & Forms Officer will provide direction to division records coordinators. The Records & Forms Officer may consult as needed with Attorney and Department of Justice on records management topics, including but not limited to privacy law, records retention and disposition.
This position is the subject matter expert of the Department of Military Affair's record management program and serve on the state records council.
Starting pay is between $36.50 and $39.27/ hr.
This position will work part-time/ day-time hours. The exact weekly schedule will be determined with the finalist at the time of job offer.
For current permanent state employees, pay will be set in accordance with the State Compensation Plan. This position is included in pay schedule and range 07-03.
In order to gain access to DMA facilities or air bases, and to determine whether the circumstances of any conviction may be related to the job being filled, DMA will conduct a comprehensive background check.
The Department of Military Affairs does not sponsor work visas at the time of hire or anytime during employment. All persons hired will be required to verify identity and eligibility to work in the United States and complete the required Employment Eligibility Form I-9.
This is a State of Wisconsin Civil Service position. The DMA does not require current or previous military experience.
All new permanent, project, and limited term employees will be required to report to Joint Force Headquarters (JFHQ) in Madison on the Monday of their first week of employment for the New Employee Orientation (NEO) program. Additional information will be sent to the new employees and their supervisors on the Tuesday prior to NEO.
QualificationsCandidates who meet minimum qualifications will have experience with:
- Experience developing forms for an organization, including electronic forms.
- Experience in developing and providing training for all levels of an organization.
- Intermediate experience skill level of Microsoft Office and/or software experience used to administer records/form management.
