Outreach Specialist
The Outreach Specialist with the Nelson Institute for Environmental Studies will provide administrative support and event planning for the Center for Culture, History, and Environment (CHE), the Center for Ecology and the Environment (CEE), the Office of the Dean, and seasonal event assistance for the Advancement team. This position will report to the Administrative Assistant Director and be a member of both the Nelson Institute Business Services team and the Nelson Administrative Services team, where they can find guidance and a sense of community.
They will be responsible for a set of similar tasks in support of these centers/programs. Specific tasks for the Centers are detailed below.
CEE:
The Outreach Specialist will provide program coordination, outreach, and event planning for CEE, which includes planning and organizing recurring annual CEE events, coordinating and managing budgets and expenditures for CEE outreach activities, developing outreach and communications materials, providing support to student members of CEE, and planning and facilitating meetings of the CEE Executive Committee (including scheduling and agenda development), and related support to the CEE Director.
CHE:
The Outreach Specialist will provide administrative assistance to CHE related to logistics management, including but not limited to: annual member elections, coordination of awards, monthly agenda development, catering orders, working with speakers, meeting scheduling, managing applications and acceptance/renewal of affiliates, graduate certificate management, and related support to the CHE Director. The Outreach Specialist will also coordinate community activities and events, manage the CHE social media accounts, promote CHE events, and manage the cloud-based archives and files for CHE.
Dean's Office & Nelson Advancement team:
The Outreach Specialist will provide administrative support to the Dean's Office and to seasonal events for the Advancement team.
75-100% FTE (4 days or 5 days/week, based on candidate preference)
Key Job Responsibilities- Schedules and secures resources and communicates logistics in support of an outreach program
- Leads the implementation of programs, policies, and procedures through oversight of day-to-day activities for program staff and student and community volunteers
- Delivers outreach program content and materials to community members
- Researches, develops, and facilitates outreach program content and materials
- Identifies, promotes, and maintains external partnerships to support the outreach program
- Develops and evaluates curriculum and programs and provides recommendations for improvement
- May assist with the monitoring of outreach program budget spending

CompensationMinimum salary $50,000. Actual pay will be determined at time of hire and will be based on experience and qualifications
Required Qualifications* At least 1 year of office clerical work experience
* Event planning experience
* At least 1 year of customer service experience
Preferred Qualifications* Familiarity with the UW-Madison campus event spaces, policies, and procedures
* Experience with purchasing and expense reimbursement at a UW Institution
* Background or interest that includes in ecology, environmental science, or related fields
